Job Purpose:
To be a key resource to Bexley community drug and alcohol service providing clerical and administrative support to the team.
This role involves front line work and regular contact with service users, carers, staff, and other external professionals.
This post will support the Office Manager/ Business and Performance support Manager on ensuring information is available and processes are in place to support compliance requirements, service delivery in line with contract, performance management and service development.
To provide administrative and data support that underpins the effective delivery of clinical services within the borough of Bexley. To provide professional leadership, development and line management to junior administrative staff, volunteers including monthly one to one supervision. To be involved in the development and implementation of effective administrative procedures, systems, and data collection, including the direct provision of training as required.
To provide comprehensive administration support to the team. To act as representative for the service as appropriate at both external and internal meetings.
To support the maintenance of appropriate Health and Safety structures in the service.
Key Responsibilities:
1) General Duties – To be involved in the development and delivery of effective administration procedures across Bexley services to ensure the efficient and effective operation of these areas. Organisation of meetings with inclusion of minute taking. Preparation and dissemination of information. Drafting correspondence and reports from general direction. Provide general office duties such as photocopying, emailing, distributing post, managing reception, telephones, computerised diaries, referrals and filing on shared drive. provide cover in absence of Office Manager/ Business and Performance support Manager
2) Managing Clinical Information – To support the effective use of clinical systems (EPJs) within the services for client care and to ensure accurate reporting to OHID (NDTMS) To be involved in ensuring staff understand the systems. To be involved in and lead where required on data maintenance, including regular audits and data cleansing exercises. To maintain communication and information gathering systems within the Borough and ensure information is effectively distributed. To ensure that information is entered into the appropriate systems in a timely, accurate and systematic manner.
3) Data Management and activity reporting- To support the implementation processes and systems to ensure data quality exceeds standards and benchmarks. To be involved in the monitoring of activity and performance, and work alongside other Bexley senior staff to ensure standards are met and support continual improvement. To be involved in the NDTMS submission process.
4) Human resources –. To line manage junior administrative staff and volunteers providing supervision, appraisal (PDP), training, support. With the support from Office Manager/ Business and Performance support Manager undertake performance management, and to support in investigating any grievance and disciplinary investigations involving staff that this role manages.
5) Building management - To support in the smooth-running of the core premises, working with the relevant colleagues to ensure that cleanliness, fire, health and safety, confidential waste management, ICT and reception standards are in line with expectations for a professional environment. To be key point contact with NHS Properties to, ensuring building maintenance, regular audits and compliance with health and safety standard, infection control requirements are all met.
