About Us
Form Clinics is a premium Asian beauty and aesthetics clinic in central Manchester, focused on personalised results, refined aesthetics, excellent client care and long-term brand growth.
We are entering the next stage of development with a larger clinic space, stronger internal systems and a more structured approach to operations, client experience and content.
As the business grows, we are looking for someone who wants to develop with us and gradually become a trusted core member of the team.
Role Overview
We are looking for a reliable, organised and fast-learning team member to support both the day-to-day operations and marketing activities of Form Clinics.
This is a hands-on and varied role with significant room to grow. You do not need to know everything from day one, but you do need to be proactive, communicate clearly, learn quickly and follow tasks through properly.
This is not a pure marketing or content creation role. Particularly during the first stage of the role, a significant part of your time will be focused on administration, client support, coordination and improving internal systems, alongside marketing execution and content coordination.
You should be equally comfortable updating a tracker, following up with a client, checking stock, coordinating a supplier, organising documents or helping prepare a social media post.
As the business grows and you demonstrate your strengths, we expect the role to develop with you.
Key Responsibilities
Operations & Admin
- Support daily clinic administration, scheduling, documents and internal trackers.
- Help manage client enquiries, bookings, reminders and follow-ups.
- Assist with stock checks, purchasing and day-to-day clinic organisation.
- Help organise and improve SOPs, checklists and internal processes.
- Support recruitment coordination, including CV collection, interview scheduling and basic onboarding administration.
- Follow up with suppliers, contractors and other external partners when required.
- Keep records, trackers and internal information accurate and up to date.
- Help identify small operational issues and suggest practical improvements.
- Support the founder and management team with ad-hoc projects and day-to-day business needs.
Marketing & Content Coordination
- Help organise content materials, photos, videos and campaign assets.
- Coordinate with editors, designers, website support and other freelancers.
- Assist with approved content posting across Instagram, TikTok, RedNote, Douyin and WeChat.
- Help prepare simple briefs, update content calendars and track progress against deadlines.
- Support basic Canva and CapCut tasks where needed.
- Assist with content collection during clinic shoots, events and campaigns.
- Help maintain brand consistency across content and marketing materials.
- Track basic content performance and maintain simple reporting spreadsheets.
- Support marketing campaigns, partnerships, KOL/KOC collaborations and clinic events when required.
Who We’re Looking For
- Fluent Mandarin Chinese is essential, as the role involves Chinese-language client communication and platforms including RedNote, Douyin and WeChat.
- Strong professional written and spoken English.
- Reliable, organised, responsible and detail-oriented.
- Learns quickly, thinks independently and is able to apply what they have learned to new situations.
- Takes ownership of tasks from start to finish rather than waiting to be repeatedly reminded.
- Able to clarify instructions, summarise priorities accurately and keep the team updated on progress.
- Comfortable asking questions when something is unclear, while also being willing to research and find solutions independently.
- Strong follow-through: able to track deadlines, flag problems early and close the loop on tasks.
- Comfortable following up with clients, colleagues, suppliers and freelancers.
- Willing to handle both practical day-to-day admin and more creative marketing work.
- Comfortable working in a small, fast-moving team where priorities may occasionally change.
- Interested in beauty, aesthetics, client experience, content or brand building.
- Comfortable using CapCut, Canva, Google Sheets/Docs and Microsoft Office.
- Basic familiarity with website management, especially Wix, is an advantage.
- Experience with RedNote, Instagram or TikTok is an advantage.
- Previous experience in administration, customer service, operations, marketing or project coordination is helpful, but attitude, learning ability, reliability and ownership are more important than years of experience.
What Success Looks Like
During the first 3–6 months, success in this role means:
- Daily admin and client follow-ups are completed accurately and on time.
- Trackers, documents and internal systems are kept organised and up to date.
- Tasks are followed through without repeated reminders.
- Problems, delays or risks are flagged early rather than discovered later.
- Marketing and content tasks are coordinated according to agreed timelines.
- Communication is clear and progress is regularly updated.
- You gradually take ownership of recurring areas of the business and require less day-to-day supervision over time.
Growth Potential
This role has strong growth potential.
We are looking for someone who can grow with the business and gradually become a key internal coordinator across operations, client journey, content workflow and team systems.
Training and guidance will be provided, but we are looking for someone who is willing to learn, take ownership over time and develop into a trusted core member of the team.
As the business grows, there may also be opportunities to take on greater responsibility across operations, project coordination, marketing or team management depending on your strengths.
What We Offer
- Close collaboration with the founder and leadership team.
- Opportunity to be developed as a key internal coordinator and core member of the team.
- Exposure to clinic operations, client journey, content, marketing and brand growth.
- A varied role with genuine learning and development opportunities.
- Clear performance review structure and room to grow.
- 30% staff discount on eligible treatments, subject to clinical suitability.
- Potential Skilled Worker visa sponsorship may be considered after at least 12 months of employment, subject to performance, business requirements, the role meeting the applicable Home Office eligibility and salary requirements at that time, and all other legal requirements. Sponsorship is not guaranteed.
Probation & Reviews
Your employment will be subject to an initial 5-month probationary period.
During probation, your performance, conduct, attendance, reliability and overall suitability for the role will be reviewed.
We expect to hold structured reviews during the probation period to discuss progress, strengths, areas for improvement and whether you are on track to successfully complete probation.
Where appropriate, the company may extend probation for a limited period to allow further assessment or improvement. Successful completion of probation will be confirmed in writing.
How to Apply
Please provide:
- Your CV;
- A short note explaining why you are interested in this role and why you think you would be a good fit for Form Clinics;
- Your current visa type and expiry date, if applicable;
- Your earliest available start date;
- Any relevant examples of admin, customer service, marketing, content or project coordination work;
- Any additional information you think would be helpful, can be sent to [email protected]
We are particularly interested in candidates who are looking for a long-term opportunity to grow with a start-up business, rather than a narrowly defined marketing or administrative role.
