Summary of Role:
The HR Administrator provides comprehensive administrative support to the Human Resources function, supporting the full employee lifecycle from candidate onboarding through to employment administration. The role is responsible for maintaining accurate employee records, managing HR systems and reporting, coordinating onboarding activities, and ensuring compliance with company, client, and regulatory requirements. Working closely with HR colleagues, hiring managers, employees, and external providers, the post holder will support the timely and efficient onboarding of new starters and staff transfers, maintain data integrity across HR systems, and ensure employee information is accurate, accessible, and audit ready.
Key Deliverables:
HR Administration
Provide day-to-day administrative support across the full employee lifecycle.
Prepare and issue HR documentation including contracts of employment, offer letters, contract amendments, confirmation letters, and other employment-related correspondence.
Maintain accurate and up-to-date employee records, always ensuring data integrity and confidentiality.
Act as the first point of contact for routine HR queries, escalating complex matters where appropriate.
Support HR meetings by arranging documentation, taking notes where required, and maintaining accurate records of actions.
Ensure all personal and sensitive information is processed in accordance with GDPR and company policies.
Onboarding & Compliance
Coordinate the end-to-end onboarding process for new employees and staff transfers.
Manage pre-employment checks and onboarding requirements, ensuring all documentation is completed prior to start dates.
Administer the BPSS vetting process, including collecting, verifying, submitting, and tracking relevant documentation.
Liaise with candidates, employees, hiring managers, HR colleagues, and external agencies to ensure onboarding activities are completed within agreed timescales.
Monitor onboarding progress and maintain accurate onboarding records to support compliance requirements.
Support mobilisation activities and workforce planning by ensuring personnel meet project and client onboarding requirements.
Ensure employee records and supporting documentation remain audit ready and compliant with contractual and regulatory obligations.
HR Systems & Data Management
Maintain and update HR systems, ensuring employee data is accurate, complete, and up to date.
Produce regular HR reports and management information to support business and project requirements.
Support HR system audits, data validation exercises, and data cleansing activities.
Assist with HR system implementations, upgrades, testing, and process improvements.
Ensure HR processes align with system workflows and best practice.
Maintain electronic filing systems and employee documentation in accordance with company procedures.
Monitor key onboarding and HR metrics, providing reporting and analysis where required.
Minimum Qualifications/ Experience:
Essential
Previous experience in an HR Administrator or similar HR support role.
Experience using HR systems and managing employee data.
Experience collating and preparing payroll data for submission.
Strong IT skills, including Microsoft Office (especially Excel).
Excellent attention to detail and accuracy.
Ability to handle confidential and sensitive information appropriately.
Desirable
Understanding of HPC Onboarding requirements
Experience with specific HR systems
Basic knowledge of employment law.
CIPD Level 3 (or working towards) or equivalent experience.
