Job Summary
We are seeking a Legal Administrator to join our block management team, supporting the legal administration of leasehold property transfers. The role will involve preparing sales packs, responding to solicitor enquiries, processing Notices of Transfer and Charge, managing Deeds of Covenant and Certificates of Compliance, updating ownership records, and liaising with leaseholders, solicitors, freeholders, RMC directors, and internal property managers. The ideal candidate will have experience in leasehold property, conveyancing, block management, or legal administration, with excellent attention to detail and strong organisational skills.

Purpose of Role
To assist with conveyancing and legal replies to solicitors and correctly manage property transfers in accordance with the lease and legal obligations.
Main Duties and Responsibilities
Property Transfer Department
- To process property transfer enquiries form solicitors leaseholders and mortgage lenders
- Prepare and issue leasehold sales packs, LPE1 replies and supporting documentation.
- Manage notice of transfers, notice of charges, deed of covenants, license to assign, certificate of compliance and membership/ share certification where applicable.
- Liaise with Freeholders, resident management company directors to obtain approvals and signatures.
- Check completion documents against lease requirements and client procedures.
- Update ownership records, correspondence addresses.
- Ensure transfer fees, notice fees, deed fees and arrears are collected before post completion registration.
- Identify and escalate lease breaches, arrears, missing consents or incomplete legal documentation. Maintain accurate digital files and audit trails for each transfer.
Company secretarial
· To ensure all company secretarial duties are completed within the correct timeframe – and recharge costs appropriately.
Accounts Administrator Responsibilities:
- To raise service charge invoices 30 days in advance of due date.
- To assist with the creation of service charge budgets – ensuring to notify the PM that budget is due for submission.
- To add contractor invoices onto Blockman for payment
- To enforce debt recovery procedure where payment is not made promptly in accordance with the due date.
- To ensure that Metta Property Managements corporate invoices are settled promptly – including management fees, company secretarial fees and out of hours fees.
- To ensure that contractor invoices are paid within 30 days of receipt
- To allocate service charge payments to Blockman
- To ensure that an external accountant is instructed to provide service charge accounts and all information required is provided promptly.
- To provide the client with the draft service charge accounts within 3 months of year end.
- To report on finances as and when necessary.
To undertake reasonable additional duties as required
General Responsibilities and Administration
- To save all documents received electronically on Shared Drive – using the company policy for naming and saving documents so they can be located by everyone within the team.
Pay: £27,000.00 per year
