Summary
The Purchase Ledger Clerk at Easy Bathrooms is responsible for efficiently maintaining the purchase ledger, processing supplier invoices using Sage 200 Premium, and supporting payment runs. This role is central to sustaining smooth supplier relations, maintaining accurate company expenditure records, and supporting the overall finance function.
Key Responsibilities
- Invoice Management
- Accurately receive, code, and process supplier invoices and credit notes using Sage 200 Premium.
- Match invoices to purchase orders and delivery notes, ensuring all goods and services are properly authorised.
- Resolve discrepancies and queries with suppliers and internal departments promptly.
- Supplier Account Maintenance
- Reconcile supplier statements to the purchase ledger in Sage 200 Premium.
- Set up new supplier accounts in compliance with company policies.
- Maintain accurate, up-to-date supplier records and documentation required for VAT claims and tax compliance.
- Payment Processing
- Prepare and process payment runs (BACS, CHAPS, cheque, or online banking) via Sage 200 Premium.
- Obtain payment authorisations and ensure timely payment to suppliers.
- Issue remittance advice and handle supplier payment queries.
- General Ledger & Financial Support
- Enter purchase ledger transactions into Sage 200 Premium, ensuring correct coding to nominal accounts.
- Assist with month-end procedures and completion of purchase ledger close routines, supporting VAT and tax submissions as required.
- Support internal and external audits by maintaining accessible, up-to-date records.
- Administrative Duties
- Maintain organised digital and paper documentation, in line with Easy Bathrooms’ and HMRC requirements.
- Provide reporting and analysis of purchase ledger accounts as requested.
- Assist the finance team with any ad-hoc duties.
Skills & Experience
- Experience in a purchase ledger, accounts payable, or similar finance role, ideally in a business using Sage 200 Premium.
- Proficiency in Sage 200 Premium and Microsoft Excel.
- Strong accuracy, numeracy, and attention to detail.
- Effective communication and problem-solving skills.
- Ability to manage multiple priorities and meet deadlines within a team setting.
Qualifications
- GCSEs (or equivalent) including Maths and English (essential).
- AAT Foundation/Level 2 or equivalent (desirable).
