Title: Admin/Helpdesk Co-ordinator
Location: Remote, occasional travel
Pay: £17069.49
Shift: 24hours per week - Times discussed at interview
Bidvest are looking for a helpdesk co-ordinator to join the team acting as the central point of contact for clients, engineers, and subcontractors to ensure facilities management services run smoothly. In This role ensures that security and building maintenance issues are logged, assigned, and resolved within agreed timeframes. This is a work from home role with occasional travel.
Key Responsibilities
Customer Service & Logistical Support
- Log incoming reactive maintenance requests from clients via phone or email.
- Act as the primary, professional point of contact for all service desk inquiries.
- Update clients regularly on the progress of their open maintenance tickets.
- Maintain accurate records on the Computer Aided Facilities Management (CAFM) system.
Operations & Subcontractor Coordination
- Dispatch external subcontractors to sites.
- Monitor key performance indicators (KPIs) to meet service level agreements (SLAs).
- Request, follow up, and track quotes from third-party suppliers.
- Schedule planned preventative maintenance (PPM) tasks alongside emergency repairs/call outs.
Administration & Financial Support
- Raise purchase orders (POs) for approved works and supplier materials.
- Obtain client PO’s for contractual and ad-hoc work.
- Liaise with our internal financial teams.
- Match supplier invoices against completed work orders for final sign-off.
- Compile weekly or monthly operational performance reports for management.
- Assist the wider facilities contracts team with general administrative tasks.
Candidate Profile
Required Skills & Experience
- Previous experience working in a fast-paced helpdesk, customer service, or scheduling role.
- Strong proficiency with Microsoft Office suite, especially Outlook and Excel.
- Excellent verbal and written communication skills for managing client relationships.
- Ability to multi-task, prioritising urgent emergency repairs over routine tasks.
- A person seeking training and development opportunities.
Preferred Attributes
- Experience working within the facilities management, property, or construction sectors.
- Familiarity with CAFM software systems.
