The Opportunity
We are looking for a bright, ambitious and highly organised Finance Assistant to join BWP Group’s Finance Team in Marlow. This is an excellent opportunity for someone with early transactional Finance experience – or a relevant placement year – who wants to build a broad career in Finance rather than remain focused only on data processing.
Initially, the role will take day-to-day responsibility for core Accounts Payable and Accounts Receivable activity, helping us maintain accurate records, pay suppliers on time, invoice clients promptly and keep control of working capital. You will work closely with the Finance Manager and Finance Director, as well as colleagues across our client-facing and operational teams.
A role designed to develop with Finance
Our Finance function is investing heavily in AI and automation. As routine data entry becomes more automated, this role will move increasingly towards reviewing outputs, resolving exceptions, posting, reconciling, strengthening controls and producing useful analysis. We are looking for someone who is comfortable with that change and wants to grow with it.
Key Accountabilities
1. Accounts Payable and supplier management
· Create and maintain supplier accounts and payment details, following the required verification and approval controls.
· Process supplier invoices accurately and promptly, checking purchase orders, job and nominal coding, VAT treatment, supporting documentation and authorisation.
· Manage invoice approval workflows and follow up with budget holders to keep invoices moving and resolve queries quickly.
· Reconcile supplier statements and investigate missing invoices, duplicate items, unapplied credits and other differences.
· Prepare clear supporting schedules for supplier payment runs, process approved payments and issue remittances.
· Process employee expenses and company card transactions, ensuring that receipts, coding and approvals are complete.
2. Accounts Receivable, billing and credit control
· Create and maintain client accounts and accurate billing details.
· Support the preparation, checking, posting and distribution of client invoices, including retainers, project fees, production costs and rechargeable expenses.
· Work with Business Directors, project leads and the wider Finance Team to make sure work is billed completely and on time.
· Maintain an accurate aged receivables ledger, allocate receipts and issue client statements.
· Chase overdue balances professionally and consistently, escalating disputes or collection risks promptly.
3. Banking, reconciliations and financial control
· Post bank receipts and payments accurately and complete regular bank reconciliations.
· Maintain clean AP and AR control accounts and investigate reconciling items promptly.
· Support balance sheet reconciliations and ensure that working papers are complete, clear and review-ready.
· Follow BWP’s financial controls, delegated authorities and data security requirements at all times.
4. Month-end, reporting and audit support
· Provide timely schedules and evidence for month-end close, including AP, AR, expenses, bank and other reconciliations.
· As experience develops, assist with accruals, prepayments, fixed assets, variance analysis and management account preparation.
· Support year-end audit requests and maintain well-organised supporting documentation.
· Contribute to ad hoc reporting and analysis requested by the Finance Manager or Finance Director.
5. Systems, AI and process improvement
· Use Xero, Synergist, Excel and the wider Finance technology stack accurately and consistently.
· Help test, document and improve new automated Finance workflows, including invoice processing, approval, posting and reconciliation activity.
· Use AI tools confidently and responsibly – checking outputs, protecting confidential information, applying professional judgement and escalating anomalies rather than accepting results at face value.
· Identify recurring issues, unnecessary manual steps and opportunities to improve the quality, speed and control of Finance processes.
How the Role Will Develop
The immediate priority is to build strong foundations across AP, AR, banking and reconciliations. Over the first 12–18 months, we expect the successful candidate to take on broader month-end and management accounting responsibilities, support commercial analysis and contribute more directly to Finance reporting. If BWP completes acquisitions, there may also be future exposure to group, consolidation and European entity work.
