Office Admin Support
About the role
Gwella are looking for a highly organised, proactive office administrator to support the senior management team. Ensuring the smooth running of the office to include all current service offerings. Assisting running the office on a day-to-day basis to include all administration support.
This role is based in our Exeter office.
Key responsibilities include
- Provide administrative support to Contracts Managers, including compiling and collecting site documentation.
- Manage incoming calls, log enquiries, and direct queries appropriately.
- Carry out general administrative duties including printing, filing, and scanning.
- Arrange transport and accommodation for staff as required.
- Organise company events, meetings, and conferences.
- Order stationery, office equipment, and consumables, including monthly stock replenishment.
- Handle internal and external queries, log potential complaints, and ensure appropriate follow-up.
- Liaise with clients, suppliers, and employees to support smooth business operations.
- Raise Purchase Orders accurately and in a timely manner.
- Maintain and implement administrative processes using company systems such as SimPro and Assure 360.
- Prepare and review projects on SimPro prior to submission to the finance team for invoicing.
About you
- Organisational and management experience, and display good all round interpersonal skills as well as leadership and people management skills.
- The role involves working closely with managerial staff but including external clients when necessary
- Be commercially astute; a role requirement will be to negotiate best costs from suppliers, check invoices and understand all financial aspects of the office management process.
- Monitor contract documentation; assist the Contracts Managers/Regional Manager as necessary to ensure both client requirements and company requirements are met.
- Able to multi-task, prioritise and manage time efficiently.
- Able to complete data reports in line with work flow and company requirements.
- Excellent interpersonal skills and problem solving skills.
- Ability to prioritise and meet critical deadlines
Hours and location
Base: Exeter, Devon
Contract Type: Full time, permanent
Hours: Monday to Friday, 08:30 – 17:00
Reports to: Regional Manager / Branch Manager
