Data and Operations Officer
Salary: SCP14 (£28,081.27), rising to SCP15 (£28,476.79) on successful completion of probation
Hours: 36 hours per week
Contract: Permanent
Location: Any CVS Lincolnshire office, to be agreed on appointment, with regular travel across Lincolnshire office sites
CVS Lincolnshire is looking for a proactive, organised and confident Data and Operations Officer to help strengthen the systems, processes and support that keep our organisation running effectively. This is a varied, hands-on role for someone who enjoys solving problems, supporting colleagues and using data, technology and good administration to improve how services are delivered.
You will work closely with the Head of Operations and colleagues across the organisation to support data quality, CRM administration, operational reporting, ICT and digital systems, facilities, compliance and day-to-day office operations. The role will help ensure that staff have the information, systems, equipment and support they need to work confidently and consistently across all sites.
This role will involve regular travel across Lincolnshire. The successful candidate must be comfortable working from different CVS Lincolnshire office locations and travelling between sites to provide practical support, deliver staff training, troubleshoot local issues, build relationships and promote consistent ways of working.
About the role
As Data and Operations Officer, you will play a key role in supporting reliable information, effective systems and smooth operational processes across CVS Lincolnshire. You will maintain accurate records, support CRM and Microsoft 365 use, produce routine monitoring information, assist with reporting and help improve how data and systems are used across the organisation.
We are looking for someone with professional curiosity: a person who is willing to ask questions, explore how systems work, learn new IT tools proactively and help translate that learning into practical improvements for colleagues.
A significant part of the role will be helping colleagues to use systems well. This will include delivering training and support sessions, producing clear guidance, coaching staff one-to-one or in small groups, and helping teams embed consistent processes. We are looking for someone who can explain digital systems and data processes in a clear, patient and practical way, adapting their approach to different levels of confidence and experience.
What you will be doing
- Supporting staff to use organisational systems, Microsoft 365, CRM tools and digital processes confidently and consistently.
- Proactively learning new IT tools, system features and digital ways of working, then sharing practical tips, guidance and coaching with colleagues.
- Travelling regularly to CVS Lincolnshire sites to provide in-person operational support, training, coaching and troubleshooting.
- Maintaining accurate CRM and business system records, carrying out data quality checks and supporting reporting requirements.
- Producing and maintaining user guidance, process notes and training materials.
- Helping to coordinate office facilities, meeting rooms, equipment, supplies, maintenance and contractor visits.
- Supporting compliance with data protection, confidentiality, safeguarding, health and safety and organisational policies.
- Working collaboratively with colleagues, volunteers, managers, partners and suppliers to improve systems and processes.
About you
You will be highly organised, approachable and confident working with both people and systems. You will have strong IT skills, good attention to detail and the ability to communicate clearly with colleagues across different teams and locations. You do not need to know every system already, but you should be confident learning new tools, asking thoughtful questions, supporting others and finding practical solutions.
We are particularly interested in candidates who enjoy coaching others, can build rapport quickly and are comfortable delivering training or support sessions to staff with varying levels of digital confidence. You will also need to be able to travel across CVS Lincolnshire sites as part of the role.
We offer
- 30.5 days annual leave, plus bank holidays.
- A variety of enhanced benefits
- A supportive, inclusive and collaborative working culture.
- Access to supervision, appraisal, learning and development.
- HSF Health Scheme.
- The opportunity to make a practical difference to how CVS Lincolnshire supports staff, communities, volunteers and the VCFSE sector.
