About the Role
We're looking for a proactive and organised Administrator to join our Heathrow team.
This is a varied and fast-paced role providing administrative support across both our Field Operations and Laboratory teams. You'll play a key role in keeping day-to-day operations running smoothly by managing communications, coordinating bookings, maintaining records and supporting operational processes.
No two days will be the same, so we're looking for someone who enjoys variety, has excellent organisational skills and can confidently prioritise a busy workload.
Key ResponsibilitiesGeneral Administration
- Monitor and manage the shared administration inbox.
- Answer incoming telephone calls and direct enquiries appropriately.
- Welcome visitors and provide reception support.
- Generate purchase orders.
- Book hotels and travel when required.
- Organise office supplies and stationery.
- Order PPE for operational teams.
- Maintain digital filing systems using SharePoint.
- Assist with building maintenance administration.
- Book CITB and CSCS tests.
- Support interview, investigation and disciplinary meetings by taking notes.
- Send reports and summaries to clients.
Field Operations Support
- Process field testing administration.
- Update vehicle fleet records and incident logs.
- Maintain operational spreadsheets and reports.
- Arrange vehicle servicing, repairs and MOTs.
- Book inductions, medicals and site passes.
- Manage online training allocations.
- Issue and manage ID card access.
Laboratory Support
- Book in concrete samples.
- Compile laboratory reports and registers.
- Upload external testing reports.
- Monitor laboratory reporting systems.
- Update laboratory tracking information.
- Assist with utility orders and other laboratory administration.
What We're Looking For
We're looking for someone who has:
- Previous administration experience.
- Strong Microsoft Office skills, particularly Excel, Outlook and Word.
- Excellent organisational and time management skills.
- High attention to detail.
- Confident verbal and written communication skills.
- The ability to prioritise a varied workload.
- A proactive approach and willingness to use initiative.
- GCSE (or equivalent) Maths and English.
- Experience using SharePoint (desirable).
- Experience supporting operational or engineering teams (desirable).
