About the Role
Pro-Form Physio & Fitness is a growing private MSK physiotherapy and rehabilitation clinic based in Bexleyheath, Kent.
We are looking for an organised, proactive and personable Patient Services Assistant / Rehabilitation Assistant to join our team in a varied role combining patient services, clinic administration and rehabilitation support.
The majority of your regular hours will involve supporting reception and the day to day running of the clinic. Alongside this, there will be opportunities to support our physiotherapists with home visits, rehabilitation activities, community and sporting events and other patient-facing activities.
This role would particularly suit a Rehabilitation Assistant or recent graduate in Sports Rehabilitation, Sports Therapy, Sport & Exercise Science, Exercise Rehabilitation or a related healthcare/rehabilitation discipline who wants to gain broader experience within a private MSK and patient-facing environment.
It could also suit someone already working as a Rehabilitation Assistant who is looking for a more varied role combining patient interaction, administration and exposure to private practice.
It is important that applicants are comfortable with reception and patient services forming a significant part of the role. We are looking for someone who enjoys working with people, is happy to support the practical running of the clinic and is keen to become involved in additional rehabilitation opportunities when they arise.
Hours
This is a part-time position with 8 contracted hours per week, with opportunities for additional overtime.
Your regular working pattern will be:
- Monday: 4 hours - 9:30am–1:30pm every other week and 10:30am–2:30pm on alternate weeks
- Tuesday: 2:30pm–6:30pm
During the initial training period of approximately one month, the Tuesday shift will temporarily be 11:30am–3:30pm to allow for supported training and induction. Applicants must therefore be able to accommodate both Tuesday working patterns.
Additional hours will be available from time to time to provide reception cover during annual leave, sickness and other staff absence, as well as supporting home visits, clinic activities and sporting/community events.
During periods of additional cover, total hours may increase to approximately 12–20 hours per week.
Applicants should ideally have some flexibility to undertake additional hours when available, although overtime is not guaranteed.
Patient Services & Administration
The majority of your regular responsibilities will include:
- Welcoming patients and providing a friendly and professional first point of contact
- Answering telephone, email and online enquiries
- Booking, amending and cancelling appointments using Jane App
- Processing payments and maintaining accurate patient records
- Supporting diary management and helping maximise appointment availability
- Following up enquiries and assisting with patient reactivation
- Liaising with patients and insurers where required
- Communicating clinic policies professionally and confidently
- Supporting patient feedback and review processes
- Completing general clinic administration
- Stock checking and replenishing clinic supplies
- Preparing and resetting treatment and rehabilitation rooms
- Maintaining a clean, tidy and professional clinic environment
- Light clinic housekeeping, including emptying bins and keeping communal areas organised
- Preparing the clinic for incoming clinicians and patients
- Supporting the smooth day-to-day running of the clinic
Rehabilitation & Clinic Support
Depending on clinic requirements and your experience, there will also be opportunities to:
- Support physiotherapists during appropriate home visits
- Assist with rehabilitation activities under the direction of a physiotherapist
- Prepare rehabilitation equipment and treatment areas
- Support clinic events, community initiatives and patient education activities
- Assist the team at sporting events or other external events attended by the clinic
- Gain greater exposure to private MSK physiotherapy and rehabilitation
The clinical element of the role is intended to provide additional experience and exposure alongside your core patient services responsibilities, rather than being a standalone clinical caseload.

- Reliable and comfortable working independently as well as part of a team
- Interested in healthcare, rehabilitation, fitness or MSK physiotherapy
- Keen to learn and gradually take on additional responsibility
- Happy to undertake a varied role, including administrative and practical clinic tasks
Previous reception, administrative or patient facing experience would be advantageous but is not essential for the right candidate.
A full UK driving licence and access to a vehicle would be advantageous, particularly for supporting future home visits and external events.

Due to the short part-time shifts involved, applicants should carefully consider whether their commute is practical and sustainable before applying. Applicants must be available for all three contracted working days and be able to accommodate the temporary Tuesday training hours during their initial month. Applicants must live within a 45 minute commute to be considered for this position.
