Role Summary
The Workplace Managers role for Real Estate & Workplace will provide workplace/facilities coordination across all sites in the United Kingdom (and some sites within Europe) to provide sufficient day-day facilities operations and preventative & planned maintenance for our sites. The position will require good working knowledge of office health & safety practices and would need to undertake and coordinate site operational projects and upgrades. You will be responsible for all ‘FM Soft Services' including reception and guest services on site and general administration relating to the full operation of our offices.
Responsibilities
- Thorough understanding of facilities management operations primarily focused on ‘Soft Services' along with a good understanding of building maintenance, and specialist operational requirements to facilitate a high class and modern built environment for our people

Management of vendors and contracts for facilities related services, such as building maintenance, janitorial, amenities, plant service, catering, recycling/waste management, equipment maintenance, mail/post/shipping services, ergonomics and health and safety services locally.

Implementation of building and site premises physical security

The role may also require aspects of planning, programme co-ordination, management of alterations, building and space management change, layout and coordinating with the facilities technical team.

Manage any local staff including reception, facilities coordinators that are within our agreed supervision remit

Performs site inspections regularly to determine any corrective actions

On site facilities sustainability programmes

Contract management of facilities suppliers and vendors

Ownership of the shipping and receiving process on site

Provides input for annual operation budgets. Monitor spending working closely with finance support teams . Meet with vendors to review cost and services

Work closely with our procurement teams for sourcing vendors and appropriate approvals sought

Complete daily facilities requests and assisting with office moves.

Ownership of the helpdesk ticket process for the site(s)

Skills and Experience:
- 2- 3years min Facilities or similar administration experience in a corporate environment in REW, Finance or related field is preferred

Problem solving skills along with the ability to communicate complex cocepts and change clearly

Understanding of facilities management and building operations in the context of the wider business.
Experience working in a regulated environment and knowledge of the risk and compliance requirements associated with this.
