Position: Administrative Assistant – Cabinet Members
Location: County Hall, Chichester, PO19 1RQ
Start Date: 10 September 2026 – 9:00 am
Contract Duration: Temporary – until 2 October 2026
Working Hours: 37 hours per week
- Monday to Thursday: 8:30 am–4:30 pm, with a one-hour lunch break
- Friday: 8:30 am–4:00 pm, with a one-hour lunch break
- Initially office-based, with the potential for hybrid working later. A minimum of two days per week in the office will be required.
Pay Rate: £15.31 per hour (Grade 7)
Responsibilities:
- Provide confidential, proactive and professional administrative support to elected County Councillors with Cabinet portfolio responsibilities
- Manage diaries, appointments and meeting schedules effectively
- Handle correspondence and routine administrative tasks on behalf of Cabinet Members
- Work closely with colleagues in Democratic Services to provide efficient day-to-day support
- Organise and prioritise workloads to meet deadlines in a fast-paced environment
- Anticipate potential issues and use initiative to resolve them where appropriate
- Communicate professionally with Councillors, senior officers and other stakeholders
- Maintain a high level of confidentiality and discretion when handling sensitive information
Requirements:
- Strong administrative and organisational skills with the ability to manage competing priorities and meet deadlines
- Excellent IT skills and confidence using standard office systems
- Ability to work independently, demonstrate initiative and make appropriate decisions
- Excellent communication skills, both verbally and in writing
- A high level of discretion and confidentiality when dealing with sensitive information
- Flexible approach to changing priorities and workloads
- Excellent attention to detail and the ability to maintain accurate records and documentation
- Ability to develop and maintain professional working relationships with Councillors, senior officers, colleagues and other stakeholders
- Previous Personal Assistant or similar administrative support experience is desirable
- Experience supporting senior managers or senior stakeholders is desirable
- Experience within a local authority or public sector environment is desirable
- Previous experience in Democratic Services is desirable
