We are looking for an organised, proactive and personable Personal & Business Assistant to work closely alongside the owner of a small group of businesses operating across retail, events and online sales.
This is a varied, hands-on role designed to provide administrative and organisational support across several businesses, primarily Rising Phoenix Games and Unleashed Events, as well as supporting our other business activities when required.
No two weeks are likely to look exactly the same. You could be updating upcoming product releases for the game store, adding events to our website, contacting attractions for a comic convention, arranging meetings, placing orders or making sure something that was agreed last week actually gets followed through.
You'll work directly alongside the business owner and interact regularly with other members of the team, including our marketing and retail staff.
A major part of the role will be taking ownership of recurring administrative tasks, helping improve our existing systems and making sure important jobs don't get forgotten when things get busy.
What you'll be doing
Your responsibilities will develop as you become familiar with the businesses, but are expected to include:
- Providing general administrative and organisational support across the businesses.
- Maintaining spreadsheets, databases, calendars and internal records.
- Keeping track of upcoming trading card, tabletop and gaming product releases.
- Entering and updating product information within our systems.
- Placing routine stock and supply orders once requirements have been agreed.
- Keeping events, products and other information up to date on our websites.
- Helping develop and maintain our online product catalogue.
- Receiving event information from our retail team and ensuring it is correctly recorded across our internal systems and website.
- Working alongside our marketing assistant to ensure they have the information needed to promote upcoming events and announcements.
- Sending routine correspondence and enquiries using existing templates.
- Contacting attractions, organisations and other potential partners for upcoming events based on an agreed shortlist.
- Tracking enquiries, recording responses and following up where necessary.
- Maintaining event information and ensuring relevant deadlines and outstanding actions are tracked.
- Ordering flyers, posters and other printed promotional materials using artwork supplied by the team.
- Liaising with printers, suppliers, venues and other organisations.
- Helping coordinate appointments, meetings and calls.
- Maintaining the owner's business diary and helping ensure upcoming commitments aren't missed.
- Providing administrative support for online sales.
- Handling outgoing business post and taking prepared letters and parcels to the Post Office.
- Helping document recurring processes as you learn them.
- Identifying routine administrative tasks that can be taken over permanently.
- Providing other reasonable business administration and operational support as required.
You won't be expected to make major commercial or creative decisions independently. Instead, you'll often be responsible for taking an agreed decision and making sure everything that needs to happen afterwards gets done.
About you
We're much more interested in finding the right person than somebody who happens to have a particular job title on their CV.
Previous administrative, PA, office, retail or events experience would be useful, but isn't essential if you can demonstrate the skills we're looking for.
You'll ideally be someone who:
- Is naturally organised and enjoys keeping things in order.
- Has excellent attention to detail.
- Is reliable and follows things through.
- Can keep track of several different tasks without losing sight of them.
- Is comfortable taking ownership of recurring responsibilities.
- Can use initiative while recognising when something needs approval.
- Is confident using computers, email and spreadsheets.
- Is comfortable learning new websites, software and business systems.
- Has good written communication skills.
- Is confident communicating professionally with customers, suppliers and other organisations.
- Is comfortable working both independently and closely alongside other people.
- Isn't afraid to ask questions when something isn't clear.
- Is adaptable when priorities change.
- Is friendly, personable and easy to work with.
Knowledge of trading card games, tabletop gaming or comic conventions is not required. There will be plenty to learn, and we're happy to teach the right person.
Working environment
This is a fully in-person position and is not suitable for remote working.
You'll initially be based primarily at Rising Phoenix Games in Middlesbrough, working directly alongside the business owner.
You'll also work alongside members of our retail and marketing teams, so good communication and the ability to work collaboratively will be important.
The working location may expand or change in the future as the businesses develop.
Hours and contract
The position is for 15 hours per week.
There is some flexibility around how these hours are arranged, which can be discussed during the recruitment process.
The role will initially be offered on a 6-month fixed-term contract. At the end of this period, we'll review how the position has developed, with the possibility of extending the contract and potentially increasing the hours if appropriate.
