We are looking for a highly organised, trustworthy and proactive Personal Assistant to work directly with the founder and managing director.
Job Location
This is an in-person position based at Finchley Studios in Finchley, London N3 1HH. It is not a remote or hybrid role, so candidates must be able to travel to the studio reliably.
The position is part-time, three days per week, approximately 15–20 hours in total.
The Role
The primary purpose of this role is to help the founder manage a varied range of personal tasks, appointments, arrangements and administrative matters.
You will also support selected business and operational tasks at Finchley Studios. When priority personal and business tasks are under control, you will help with targeted outreach to potential clients.
Some tasks will be important and time-sensitive, while others may be routine or practical. You should be comfortable with both, take ownership and follow matters through to completion without repeated instructions.
As you will handle personal and business information, discretion, reliability and good judgement are essential.
Responsibilities
You will:
- Manage personal appointments, bookings, reminders and correspondence.
- Research products, services, suppliers and travel arrangements.
- Present clear comparisons and recommendations when decisions are required.
- Liaise with contractors, suppliers and service providers.
- Follow up on outstanding matters until they are completed.
- Organise documents and maintain accurate records.
- Assist with practical arrangements and occasional local errands.
- Draft and send routine personal and business emails.
- Update Asana and maintain clear task lists.
- Monitor deadlines and follow up on outstanding business actions.
- Coordinate meetings, purchases and quotations.
- Prepare summaries, handovers and supporting information for team members.
- Research suitable potential clients when other priorities are under control.
- Send approved, personalised introductory emails and follow-ups.
- Record outreach activity and pass interested responses to the appropriate team member.
- Provide a weekly update on completed, outstanding and blocked tasks.
Who This Role Is For
This role is for someone who genuinely enjoys working as a Personal Assistant and directly supporting one person.
You should enjoy bringing order to a varied workload, taking care of practical details and ensuring that nothing is forgotten. You must be comfortable handling routine and sometimes mundane tasks alongside business responsibilities.
You will be proactive, resourceful and able to find solutions independently, while recognising when approval is required. Priorities may change, so you must be able to reorganise your workload while remaining calm, accurate and dependable.
Skills and Experience
Previous experience as a Personal Assistant, Executive Assistant or private assistant is highly desirable. Experience supporting a founder, director, business owner or private individual would be beneficial.
Applicants should have:
- Excellent written and spoken English.
- Strong organisation, prioritisation and follow-up skills.
- Professional communication skills.
- Confidence using email, spreadsheets and task-management software such as Asana.
- Confidence using AI tools for research, organisation and communication.
- Discretion when handling confidential personal and business information.
- The right to work in the UK.
Experience with prospect research, cold email outreach or CRM systems would be helpful, but it is not the primary requirement.
Attitude, judgement, reliability and follow-through are more important than a particular job title.
