Fidaris is supporting a growing e-commerce business specialising in automotive parts. Our client supplies retail and trade customers through online marketplaces and direct channels, working with suppliers and external fulfilment partners. They're a small, fast-moving team where good organisation and clear communication make a real difference to customers and growth.
The Role
We're looking for a hands-on Executive Assistant (Operations) to take ownership of the day-to-day running of the business. You'll bring together the people, priorities, systems and processes behind sales support, customer service, purchasing, stock, fulfilment, e-commerce and admin — making sure work is clearly owned and actually gets done.
This is a broad operations role, not a narrow warehouse or inventory position. You'll lead a small team, improve how work flows through the business, solve recurring problems, and give the Director clear visibility of what's happening — moving comfortably between planning, delegating and rolling your sleeves up when needed.
What You'll Be Doing
- Planning and coordinating daily/weekly activity across sales support, customer service, purchasing, stock, fulfilment, e-commerce and admin
- Leading a small team — setting priorities, giving feedback, and holding work to standard
- Tightening up processes and procedures to reduce recurring errors
- Managing orders, enquiries, returns and exceptions accurately and on time
- Overseeing stock accuracy, purchasing, supplier deliveries and stock counts
- Managing day-to-day supplier, courier and fulfilment partner relationships
- Keeping operational systems accurate and up to date across marketplace and direct channels
- Providing a weekly report on priorities, performance, risks and decisions needed
- Supporting the Director on operational projects and improvements
What We're Looking For
- Proven experience in an operations, team-lead, EA/business-support or senior operational role — ideally in a small or medium-sized business
- Experience coordinating across multiple functions, owning end-to-end workflows
- People management experience — setting priorities, delegating, following through
- A track record of improving processes and introducing practical controls
- Strong organisation, judgement and problem-solving skills
- Comfortable with Excel and operational systems; experience with an ERP, order-management or inventory system is a plus
- Experience with stock, purchasing, suppliers, fulfilment or e-commerce is valuable — but broad operations experience matters most
- Clear, professional communication skills
- Automotive aftermarket experience helpful, not essential
