The Role:
We are seeking an organised and proactive Fleet Maintenance Coordinator to support the planning, coordination, and optimisation of fleet maintenance activity across our operations.
This is a key role within the business, focused on ensuring vehicle maintenance is effectively planned, workshop activity is coordinated, compliance requirements are maintained, and vehicle downtime is minimised.
The successful candidate will play an important part in improving maintenance visibility, supporting workshop efficiency, and helping to embed structured fleet management processes across the business.
Key Responsibilities
- Planning and coordinating fleet maintenance activities, including inspections, servicing, repairs and breakdown response
- Coordinating workshop bookings and adjusting schedules in response to operational demands and changing priorities
- Acting as a key link between operations, workshops and management to improve fleet availability and minimise downtime
- Monitoring fleet status and proactively identifying risks to operational readiness
- Coordinating maintenance activity across internal and external workshops where required
- Supporting compliance with inspection schedules, servicing intervals and defect management processes
- Ensuring maintenance records are accurately logged and maintained within systems
- Supporting the development of maintenance reporting and operational visibility
- Identifying opportunities to improve planning, efficiency and maintenance coordination processes
- Assisting with the mobilisation of new vehicles into operational maintenance schedules
Essential Requirements
- Previous experience in a fleet maintenance coordination, workshop planning, transport planning, plant, operated hire, or maintenance scheduling environment
- Practical working knowledge of R2C garage management software (essential)
- Strong organisational skills with the ability to manage multiple priorities in a fast-paced environment
- Good understanding of maintenance planning, workshop coordination and vehicle downtime management
- Strong communication skills and confidence working with operational teams, workshops and management
- Good attention to detail, particularly regarding compliance, scheduling and record keeping
- A proactive, solutions-focused approach with the ability to respond to changing operational demands
Desirable Experience
- Experience within HGV, plant, operated hire, fleet maintenance or workshop environments
- Understanding of DVSA maintenance compliance and defect management processes
- Experience supporting maintenance KPIs, reporting or fleet utilisation monitoring

Pay: £30,000.00-£35,000.00 per year
