Operations Administrator Profile
About the Role:
We are looking for an Operations Administrator to join our team to cover for maternity leave. This is a diverse role which encompasses Operations administration as well as general office management responsibilities for a contract cleaning company in central London.
The successful candidate will assist in ensuring that the office runs smoothly on a day to day basis as well as carrying out all administration duties as and when required.
This position requires an individual that is personable, organised and responsible, with the ability to multitask and prioritize their duties. The position also requires a candidate that will maintain a high level of discretion and professionalism when dealing with confidential and sensitive information.
Key Responsibilities:
- Operations diary management to ensure that all jobs are scheduled, relayed to the operations team in a timely fashion and satisfactory tickets have been obtained
- Management of emails to include categorising, actioning and seeing to completion to the point of delivery
- Management of cleaning supplies including the ordering, processing and arranging delivery to the stores
- Contract Management including updating and maintaining costs and charges
- Production and issuing of delivery notes. Ensuring that signed copies are filed
- Daily management of additional works to operations team and directors
- Assist with recruitment in conjunction with the Operations team including checking of documents and arranging interviews of new applicants
- Maintenance of the additional works spreadsheet and calendars
- Weekly meetings to ensure that all additional works are priced up ready for invoicing
- Requesting POs from clients so that invoices can be raised
- Creation of staff passes for relevant sites
- Maintaining records in the office and ensure that all paperwork is filed regularly
- Answering of all calls on the main office number and relaying messages accordingly
- Ad hoc administrative duties when required for enhancing processes and procedures
- Assisting the Office Manager to ensure that the office runs smoothly on a day to day basis

Pay: £30,000.00-£33,000.00 per year
