Senior Administrator

We are looking for an experienced and highly organised Senior Administrator to join our busy and growing business.
This is an important role within the company and would suit someone who is confident, proactive and capable of taking responsibility for a wide range of administrative and operational duties.
The successful candidate will work closely with management and different departments across the business, helping to ensure that tasks are completed accurately, efficiently and on time.
Key Responsibilities
- Managing day-to-day administrative duties across the business
- Managing emails, telephone calls and internal correspondence
- Preparing letters, reports, documents and other business correspondence
- Maintaining accurate company records and filing systems
- Updating spreadsheets, databases and internal systems
- Monitoring outstanding tasks and following matters through to completion
- Coordinating information between different departments and members of staff
- Assisting management with day-to-day operational requirements
- Preparing and checking documentation
- Organising appointments, meetings and diaries where required
- Dealing professionally with customers, tenants, suppliers and other external parties
- Assisting with property and tenancy-related administration where required
- Helping coordinate repairs, maintenance and contractor information
- Assisting with invoices, quotations, purchase orders and general accounts administration
- Ensuring important documentation is correctly recorded and stored
- Following up outstanding information from colleagues, suppliers and customers
- Using AI and modern software systems to improve administrative efficiency
- Helping develop and maintain company procedures and SOPs
- Identifying administrative issues and resolving them without constantly requiring management intervention
About You
We are looking for somebody who:
- Has strong previous administrative experience
- Is exceptionally organised
- Has excellent written and verbal communication skills
- Is confident using computers, email, Microsoft Office and spreadsheets
- Is comfortable learning new software and AI-based systems
- Has excellent attention to detail
- Can prioritise a busy workload
- Is capable of working independently
- Takes ownership of tasks and follows them through to completion
- Is reliable, professional and trustworthy
- Can communicate confidently with senior management
- Is comfortable dealing with several different areas of a business
- Has a flexible and cooperative attitude
- Remains calm and organised when dealing with a high volume of work
Experience within property, commercial property, accounts, construction, facilities management or a professional office environment would be advantageous, although not essential for the right candidate.
