As our business continues to grow, we’re looking for a proactive and organised Stores Operations Coordinator to join our Operations team.
This isn’t a traditional warehouse role.
We’re looking for someone who enjoys taking ownership, improving processes and creating efficient systems. You’ll work alongside our existing Stores Operative, who manages the day-to-day movement of stock, while taking responsibility for improving the overall operation of our warehouse and stores.
You’ll have the opportunity to make a real impact by introducing better organisation, improving stock control, streamlining processes and helping build a stores operation that supports a growing national business.
The Role
Whilst you’ll support the day-to-day running of our warehouse when required, your primary responsibility will be to improve, organise and develop the way our stores operation functions.
We’re looking for someone who naturally asks, “How can we do this better?”
You won’t simply maintain existing processes—you’ll be encouraged to challenge them and introduce improvements that make the business more efficient.
Key Responsibilities
Warehouse Operations
- Organising and maintaining an efficient warehouse layout.
- Designing logical storage systems so every item has a clearly defined location.
- Improving stock organisation to reduce picking times and eliminate wasted movement.
- Ensuring the warehouse remains clean, safe and well organised.
- Supporting the Stores Operative during busy periods with booking stock in and out, goods received and stock picking.
Stock Control
- Managing stock accuracy and accountability.
- Developing improved stock control procedures.
- Implementing and monitoring FIFO (First In, First Out) processes where appropriate.
- Carrying out cycle counts and investigating stock discrepancies.
- Monitoring stock trends and recommending improvements.
Operations & Process Improvement
A key part of this role is continuous improvement.
You’ll be expected to:
- Review existing warehouse procedures.
- Identify inefficiencies and bottlenecks.
- Recommend and implement better ways of working.
- Improve documentation and standard operating procedures.
- Develop practical systems that make the stores operation easier to manage and more scalable.
- Work with management to continually improve operational efficiency.
Supplier & Finance Support
- Managing Returned Material Authorisations (RMAs) with suppliers.
- Tracking warranty returns and replacements.
- Supporting the Finance team with stock reconciliation and supplier queries.
- Monitoring returned stock and ensuring credits are received where applicable.
- Assisting with purchasing and supplier communication.
Systems & Data Management
You’ll also support the ongoing development of our internal SmartCore CRM by:
- Uploading and maintaining product information.
- Photographing products and equipment.
- Organising and uploading product images.
- Keeping product information accurate and up to date.
- Helping improve the way product information is managed within the system.
About You
We’re looking for someone who:
- Has previous warehouse, stores or stock control experience.
- Thinks proactively rather than waiting to be told what to do.
- Enjoys solving problems and improving processes.
- Can identify inefficiencies and suggest practical solutions.
- Is highly organised and takes pride in creating order.
- Has excellent attention to detail.
- Is confident using computer systems and learning new software.
- Can manage multiple priorities in a busy environment.
- Has strong communication skills and enjoys working with different departments.
- Takes ownership of their work and sees tasks through to completion.
Experience of warehouse improvement, stock control systems, process mapping or continuous improvement would be highly advantageous.
What Success Looks Like
Within your first six months, we’d expect you to have:
- Created a more organised and efficient warehouse layout.
- Improved stock accuracy and accountability.
- Introduced practical systems that make stock easier to locate and manage.
- Reduced time spent searching for products.
- Established clear warehouse procedures and processes.
- Improved FIFO and stock rotation.
- Supported the Finance team with improved RMA and warranty processes.
- Kept the SmartCore CRM product catalogue accurate and well maintained.
- Become the go-to person for improving our stores operation.
