Administration Assistant – Learner and Funding Support
Location: Swinderby
Job type: Full Time
Salary: £13.50 per hour
Working hours: 7am to 3pm Monday to Friday. Some weekend work as and when required.
About the role
We are looking for an organised, approachable and solution-driven Administration Assistant to join our team.
The role will focus predominantly on managing GLCCA funding administration, learner records and the associated paperwork. You will help ensure that information is accurate, complete and submitted within the required timescales.
This is a varied position requiring excellent attention to detail, strong communication skills and the confidence to work with learners, colleagues and external contacts. The successful candidate will be proactive, dependable and willing to find practical solutions when challenges arise.
Key responsibilities
- Managing learner information from enrolment through to completion
- Maintaining accurate learner records and tracking progress
- Completing and checking GLCCA funding paperwork
- Ensuring documents are accurate, compliant and submitted on time
- Identifying missing information and following up promptly
- Communicating professionally with learners, assessors and other stakeholders
- Responding to learner queries in a helpful and approachable manner
- Delivery first class information, advice and guidance to learners, assessors and other stakeholders
- Monitoring deadlines and prioritising workload effectively
- Maintaining organised electronic and paper filing systems
- Producing spreadsheets, reports and general correspondence
- Supporting the wider team with day-to-day administrative duties
- Handling personal and confidential information appropriately
About you
We are looking for someone who:
- Has excellent attention to detail and takes pride in producing accurate work
- Is highly organised and able to manage multiple learners and deadlines
- Has very good people skills and can build positive working relationships
- Communicates clearly and professionally by telephone, email and in person
- Is proactive, solution-driven and comfortable taking ownership of tasks
- Can identify potential problems and act to resolve them
- Is confident using Microsoft Excel, Word, Outlook and electronic record systems
- Works well independently and as part of a team
- Is reliable, adaptable and willing to learn
- Understands the importance of confidentiality and data protection
Previous experience in administration, education, training, funding or learner management would be advantageous. Experience with GLCCA funding requirements would be particularly beneficial; however, training can be provided for the right candidate.
