Overview
We are seeking a highly organised and proactive Executive Assistant to support the Director in a dynamic professional environment. This role involves managing a wide range of administrative tasks, ensuring smooth daily operations, and facilitating effective communication within the organisation. The ideal candidate will possess excellent organisational skills, proficiency in office software, and a keen eye for detail to assist the Director in achieving organisational goals efficiently.
Responsibilities
- Manage and maintain the Director’s calendar, scheduling appointments, meetings, and travel arrangements.
- Prepare and organise documents, reports, and presentations using Microsoft Office and Google Workspace.
- Handle incoming correspondence via email, phone calls, and other communication channels with professionalism and courtesy.
- Conduct data entry tasks accurately and efficiently to support various departmental needs.
- Assist with financial administration using QuickBooks, including invoicing and expense tracking.
- Organise meetings, including preparing agendas, taking minutes, and distributing follow-up actions.
- Maintain organised filing systems both digitally and physically to ensure easy retrieval of information.
- Support general administrative duties such as ordering office supplies, managing office equipment, and coordinating logistics for events, diary or meetings.
- Exercise excellent phone etiquette when liaising with clients, vendors, and internal teams.
- Perform other clerical duties as required to support the smooth functioning of the organisation.
Experience
- Proven administrative experience in an office environment is essential.
- Familiarity with QuickBooks accounting software is highly desirable.
- Strong organisational skills with the ability to prioritise tasks effectively.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
- Experience with data entry and maintaining accurate records.
- Previous office experience demonstrating excellent communication skills and professional phone etiquette.
- Ability to type quickly and accurately to support efficient workflow.
