Monday to Friday, 9:00am – 5:30pm (will be required to travel between different offices)

Circa £24,500 per annum

About the Role:
We are seeking a highly organised and detail-focused File Opening & Compliance Administrator to support the firm’s client onboarding, compliance, file management, and archiving processes across all five firms. The role plays a key part in ensuring compliance with SRA and AML requirements, maintaining accurate records, and supporting smooth matter progression from opening through to closure and storage.
Key Responsibilities:
File Opening & Compliance
- Create and set up client files and matter workflows across all firms
- Carry out ID and AML checks in line with SRA and firm requirements
- Run and assess ID checks using third-party systems
- Send biometric verification links to clients
- Upload and review ID and CDD documentation on case management systems
- Identify and resolve missing or incorrect compliance documentation
- Ensure all files remain fully AML compliant
File Closure & Archiving
- Prepare files for closure, ensuring all paperwork is complete
- Liaise with finance teams regarding outstanding balances
- Close and archive files on the case management system
- Package and prepare files for off-site storage and retrieval
Wills, Deeds & LPAs
- Log and store Wills, Deeds, and LPAs accurately on client records
- Ensure documents are correctly signed, scanned, and stored
- Manage storage numbering and retrieval of documents
File Destruction
- Identify files due for destruction in line with retention policies
- Ensure secure disposal of confidential documents
- Update systems and coordinate with shredding providers
Training & Support
- Support and train staff on file opening and CDD processes
- Provide guidance on compliance and onboarding requirements
Candidate Requirements:
- Experience in legal admin, compliance, or file opening (preferred)
- Knowledge of AML/CDD processes (or willingness to learn)
- Strong attention to detail and organisation skills
- Confident using case management systems
- Good communication skills and ability to manage multiple tasks
- Professional, proactive
Pay: £25,000.00-£26,500.00 per year

Ability to commute/relocate:
- Gravesend, Kent: reliably commute or plan to relocate before starting work (preferred)
Experience:
- Compliance management: 3 years (preferred)
