Working Hours: Monday to Friday, 9:00am – 5:00pm
Role Overview:
Graphic Brands, part of the Reflex Group, is seeking an enthusiastic and motivated Customer Service and Business Support Trainee to join our Ketton site. This is an exciting opportunity for someone looking to start or develop their career within customer service, business support, and the creative side of the print industry. You will receive full training and support whilst playing an important role in assisting customers, supporting production planning, and helping to ensure smooth day‑to‑day operations.
Roles and Responsibilities
- Customer Communication: Learn to act as a point of contact for customers, responding to queries and assisting with order processing in a timely and professional manner.
- Order Management: Support the team in managing customer orders received via phone, email, or other channels, learning how jobs are tracked from order through to completion.
- Production Support: Assist Production Managers with planning and coordinating work schedules, helping to monitor job progress and support production priorities, particularly during busy periods.
- Customer Service Support: Learn how to investigate and assist with resolving customer complaints relating to deliveries, orders, or products, ensuring customers receive a positive and professional experience.
- Data Entry & Reporting: Complete daily data entry tasks and assist with maintaining weekly stock sheets to ensure accurate and up‑to‑date records.
- Collaboration: Work closely with internal departments, Production teams, and Key Account Managers to support business objectives and deliver excellent customer service.
- Record Keeping: Maintain accurate and thorough customer service records covering customer interactions, orders, and resolutions.
- General Office Administration: Assist with administrative tasks including preparing documents, managing shared inboxes, coordinating internal requests, supporting basic invoicing or purchase orders, supplier administration, and contributing to site‑wide communication or reporting as required.
- Additional Business Support: Provide occasional assistance with bookings and travel arrangements, coordinating calendars, scheduling meetings, and supporting the planning of customer visits or on‑site events.
Required Skills & Experience
- Strong Communication: Good verbal and written communication skills with a professional and positive approach to dealing with customers and colleagues.
- Organisational Skills: Ability to stay organised, manage multiple tasks, and maintain attention to detail in a busy working environment.
- Willingness to Learn: Enthusiastic, proactive, and keen to develop new skills and knowledge across customer service and business support functions.
- Problem‑Solving: Able to approach challenges calmly and work with colleagues to find effective solutions.
- Team Player: Comfortable working collaboratively while also taking ownership of responsibilities and supporting colleagues when required.
- IT Proficiency: Basic knowledge of Microsoft Office (Outlook, Excel, Word) and willingness to learn internal systems and ERP software.
- Adaptability: Flexible and responsive to changing priorities, customer needs, and operational requirements.
- Driving Licence: Preferred due to the rural location, limited public transport, and the need to carry out occasional business errands.
