Job Summary
We are seeking a dynamic and detail-oriented Office Administrator/Bookkeeper to join our team! As the backbone of our office, you will manage a variety of tasks that keep our business running efficiently, from handling correspondence and maintaining precise financial records. Responsibilities
- Oversee accounts payable processes by verifying invoices, processing payments, and maintaining vendor relationships using accounting software Sage.
- Maintain accurate financial records by recording transactions, reconciling accounts, and preparing financial reports regularly.
- Processing employee expense reimbursements to ensure timely and accurate payments.
- Support budgeting activities by tracking expenses and assisting in financial planning.
- Organise and maintain filing systems for both physical documents and digital records to ensure easy retrieval and compliance.
- Quarterly VAT returns.
- Manging Petty Cash & other ad hoc activities.
- Manage daily office operations, including greeting visitors, answering phone calls, assisting with function bookings and handling correspondence with professionalism and enthusiasm.
- Collaborate with team members to improve office procedures, streamline workflows, and enhance overall efficiency.
Skills
- Proficiency in accounting software Sage is preferable for managing financial transactions accurately.
- Strong knowledge of accounts payable processes, invoice management, and expense tracking. Book keeping experience is essential.
- Excellent organisational skills with the ability to multitask effectively in a fast-paced environment.
- Exceptional communication skills for interacting with vendors, clients, and team members professionally.
- Attention to detail to ensure accuracy in bookkeeping tasks and financial reporting.
- Familiarity with general office administration tasks including scheduling, correspondence, and record keeping.
- Ability to adapt quickly to new software tools or procedures related to accounting or office management.
