Junior / Mid-Range Event & Exhibitions Co-ordinator/Manager – UK & INTERNATIONAL
We are seeking a mid-range Events & Exhibitions Co-ordinator / to manage hands-on event & exhibitions operations and branding projects for UK and international events. NB. This is not a marketing role, it focuses on planning, client relations, logistics and project delivery.
PLEASE NOTE THIS POSITION IS BASED FULL-TIME AT OUR ASHFORD, MIDDX FACILITY WITH ATTENDANCE AT SELECTED UK/INTERNATIONAL EVENTS AND CONFERENCES.
The successful candidate must have a full, clean driving licence and be able to drive a 3.5-ton van in the UK and drive confidently within European/North American cities. The candidate will also hold a valid UK/European passport allowing international travel to Europe, Canada and USA.
This junior / mid-range role is very much client-facing, with the emphasis on an ability to maximise the client potential and revenue performance of service provision and branding at events ranging from corporate conferences to film festivals and contnet programming markets . The successful candidate will bring a blend of both soft and hard skills to accomplish the following:
- Liaise directly with clients at a all levels to establish and best serve their requirements, representing our full range of services.
- Receive and comprehend detailed client briefs.
- Prepare and present proposals and interpret visual plans.
- Negotiate directly with multiple clients, under the guidance of the Events Director, delivering build, branding & simple audio-visual requirements to contract stage and client commitment.
- Liaise with multiple stakeholders, interpreting and adapting plans according to client preference, regulations and venue limitations.
- Communicate with our Accounts Manager and work with in-house systems to ensure that projects are invoiced correctly and on time.
- Work with print and other partners to collate and deliver artwork on time, often to tight and fluid deadlines.
- Ensure all client expectations are delivered and fulfilled.
- Establish and further develop ongoing relationships with clients.
- Manage alongside the Events Director on-site crews and work with colleagues to ensure timely delivery of client requirements.
Operation & Service Delivery
The successful candidate will demonstrate a true understanding of teamwork while also being comfortable working autonomously for extended periods including problem-solving in the field. They will be capable of handling the demands of multiple events, at times under pressure and to tight deadlines. This part of the role will require:
- Liaising with venue management to ensure that regulations are observed and the likes of Risk Assessment and Method Statement documents are authored and delivered as appropriate.
- Travel within UK or Europe to event venues and locations with other team members.
- Periodic overnight stays in London and extended periods of European/International travel away from home. Typically European and USA travel is between 7-14 days at a time to a maximum of approximately 8-9 weeks total travel per annum.
- Delivery of our services to clients at their event venue or festival/market location (UK, Europe & Norrtt America). Assisting guiding the team and physically assisting with the installation and dismantling of exhibition wall panels, structures, graphics and simple audio-visual.
- This role will involve lifting and carrying, along with assisting teams with event truck loading/unloading.
Qualifications and Skills
Among our requirements, applicants must:
- Demonstrate and detail relevant experience in the fields of corporate events, conferences and or exhibitions.
- Clean Driving Licence – This is an essential requirement. Ability to drive vehicles up to 3.5 tonnes into Central London and other UK locations. Ability to drive a van and/or car at European & International locations.
- Solid IT skills, including the ability to work with Microsoft Office platforms (Excel, Word, Outlook and Powerpoint).
- Excellent written & verbal communication skills.
- Confident to present and meet in-person and via Teams/Zoom to clients.
- Ability to work within a team environment and operations structure.
- Experience of trade exhibitions and commercial events.
Desirable Skill
- Language skills an advantage – particularly the ability to utilise French in both verbal and written communications.
Terms
· Wholly office-based at facilities in Ashford, Middx.
· Salary £32K - £45K depending on experience.

· Typically, a working week is regarded as 37.5 hours/09:00 to 17:30 hours – however, flexibility is key and periods prior to, during and following major events will require some longer days. Whilst on location, evening and weekend commitment will also be necessary. Expenses are provided for hotel stays and travel costs to and from event venues.
