Part-Time Receptionist & Centre Administrator
EWG Counselling is a not-for-profit counselling and mental health organisation supporting individuals, couples and young people.
We’re looking for a friendly, organised and reliable person to join our team and become an important part of the day-to-day running of our counselling centre.This is a varied, people-facing role where no two days are exactly the same. You’ll often be the first point of contact for our clients, counsellors and visitors, while also helping to keep everything running smoothly behind the scenes.
Because of the nature of what we do, we’re looking for someone who combines great organisation with warmth, empathy and discretion.
Hours:
Monday: 10:30am – 8:30pm
Wednesday: 10:30am – 5:30pm
Thursday: 3:00pm – 8:30pm
Some flexibility to provide additional ad-hoc cover would be preferred, particularly on Wednesday evenings.
What you’ll be doing:
- Your responsibilities will include:
- Managing reception and providing a welcoming first point of contact for clients and visitors
- Managing counsellor diaries and appointments
- Managing counselling room bookings
- Responding to telephone calls, emails and text enquiries
- Arranging and amending client appointments
- Taking and processing payments
- Managing and coordinating volunteer rotas
- Supporting the Centre Manager with diary and appointment management
- Liaising with counsellors, volunteers and other internal and external stakeholders
- Supporting EWG Counselling’s social media presence, including posting and sharing content across Facebook and Instagram
- Monitoring and ordering stationery and other office supplies
- Managing stock levels for refreshments and cleaning supplies
- Carrying out light housekeeping duties to help keep the centre clean, tidy and welcoming
- Providing general administrative support to help the centre run smoothly
About you:
Previous experience within counselling or mental health services isn’t essential. What matters to us is finding someone which admin or customer service experience who is organised, dependable and genuinely enjoys working with and supporting people.
We’re looking for someone who is:
- Warm, friendly and approachable
- Highly organised and able to manage several things at once
- Confident using email, online diaries and basic computer systems
- Comfortable answering the phone and dealing with a variety of enquiries
- Comfortable using Facebook and Instagram
- Reliable and able to work independently
- Discreet and respectful when handling confidential and sensitive information
- Proactive and willing to get stuck in when something needs doing
- Calm, empathetic and professional when communicating with people who may be upset, anxious or vulnerable
- Comfortable working with counsellors, volunteers and external organisations
This isn’t a role where you’ll spend your whole shift sitting behind a desk. We’re a small organisation, so we’re looking for someone who is happy to turn their hand to different things and help wherever needed to make sure the centre runs effectively.
Most importantly, you’ll understand that the person contacting us may be taking a difficult first step in asking for support, and you’ll help make sure their experience with EWG is welcoming, professional and compassionate from that very first interaction.
