We are seeking an organised and dependable Mail Services Manager to oversee daily mailroom operations, coordinate employees, maintain service standards, and ensure that incoming and outgoing items are processed accurately and securely.
You will manage workflows, monitor delivery schedules, resolve operational issues, maintain accurate records, and work closely with clients, couriers, suppliers, and internal departments.
This position is suitable for an experienced professional with a background in mail services, logistics, fulfilment, distribution, facilities support, or office operations.

Key Responsibilities
- Manage daily incoming and outgoing mail operations
- Coordinate mail sorting, scanning, processing, collection, and dispatch
- Allocate workloads and monitor team productivity
- Ensure letters, parcels, documents, and deliveries are handled accurately
- Monitor courier collections and scheduled delivery services
- Maintain accurate dispatch, tracking, and proof-of-delivery records
- Review service requests and prioritise urgent or confidential items
- Resolve routine delivery, collection, and processing issues
- Communicate with clients, couriers, suppliers, and internal teams
- Monitor service levels, turnaround times, and processing accuracy
- Prepare operational reports and performance summaries
- Manage mailroom supplies, equipment, and service requirements
- Support employee training and procedural guidance
- Identify opportunities to improve efficiency and service quality
- Assist with client onboarding and new service arrangements
- Ensure confidential documents are processed and stored securely
- Follow data-protection, workplace-safety, and company procedures
- Escalate significant service or security concerns appropriately
What We Are Looking For
Experience
- Four or more years of experience in mail services, logistics, distribution, fulfilment, facilities, or office operations
- Previous experience supervising employees or coordinating daily workflows
- Experience working with courier companies and delivery providers
- Experience maintaining operational records and preparing reports
- Experience resolving service and delivery issues

Pay: £42,000.00-£52,000.00 per year
