Part-Time Nursery Administrator – Remote/Hybrid
Location: Primarily remote, with occasional training days at ELY Nursery in Finchley Central
Hours: Monday to Friday, 9:00am–1:00pm
Contract: Permanent, part-time – 20 hours per week
Salary: £13,250 per year

About ELY Nursery
ELY is a family-run nursery that has been part of the Finchley community since 2002.

We are now looking for a friendly and organised administrator to support the important work that happens behind the scenes.
About the role
This is a varied administrative role supporting the day-to-day running of the nursery.
You will help manage the back-office processes involved in welcoming and supporting our families. This will include responding to general parent enquiries, helping new families through the onboarding process, managing childcare funding information and assisting with fees and payments.
You will also help keep our records, calendars and internal systems organised and up to date. No two mornings will necessarily look exactly the same, so this role would suit someone who enjoys variety and is comfortable managing different tasks and priorities.
The role will primarily be completed remotely between 9:00am and 1:00pm, Monday to Friday. You will occasionally attend the nursery for training, meetings or additional support.
You will be provided with a work laptop and receive an initial training period to help you understand our nursery systems and processes.
This role could be ideal for someone looking to return to part-time work or fit a rewarding administrative position around other responsibilities.
Your main responsibilities will include:
- Monitoring and responding to the nursery’s administrative inbox
- Responding to general parent enquiries in a warm and professional manner
- Supporting new families through registration and onboarding
- Sending and checking registration forms, funding declarations and other documents
- Helping families understand the information needed for funded childcare
- Checking childcare funding details and keeping funding records up to date
- Supporting with fees, deposits and payment queries
- Setting up new children and families on Famly, our nursery management system
- Updating attendance patterns, sessions, start dates and settling-in arrangements
- Keeping enquiry, occupancy and onboarding trackers accurate
- Following up with families after nursery tours by email
- Checking availability before places or additional sessions are offered
- Updating calendars with tours, settling-in sessions, start dates and nursery events
- Preparing parent emails, letters and general nursery communications
- Supporting with staff rota, absence and annual leave administration
- Keeping internal records and trackers organised
- Following up on outstanding information and actions
- Providing clear updates on completed work and anything still outstanding
- Handling confidential information relating to children, families and staff
What we are looking for

- Able to pick up new systems and processes quickly
- Confident using email, spreadsheets, calendars and online systems
- Comfortable asking questions when something is unclear
- Proactive about following up on missing information
- Able to prioritise their workload and make good use of their working hours
- Trustworthy and understands the importance of confidentiality
- Accurate and attentive to detail
- Happy to attend the nursery occasionally for training and meetings
Previous experience in administration, childcare, education or a similar setting would be helpful, but it is not essential. What matters most is that you are dependable, willing to learn and able to take ownership of your work.

You will receive an initial training period covering:

- Nursery calendars and internal trackers
- Parent communication
- Confidentiality, safeguarding and data protection
As the role involves access to confidential information about children, families and staff, the successful applicant will be required to complete the relevant safer-recruitment and safeguarding checks, including an enhanced DBS check.
