About the Role
Property repairs depend on more than sending someone to fix a problem. Jobs need to be prioritised correctly, tradespeople need realistic schedules, materials and access arrangements need to be considered, and urgent repairs must be fitted into the day without losing track of planned work.
As a Repairs Work Planner, you will coordinate maintenance and repair appointments across residential or commercial properties. You will allocate work to appropriate trades, monitor outstanding jobs, reorganise schedules when priorities change, and make sure customers receive clear information about planned visits.
The role combines scheduling, customer communication, and practical problem solving. A typical day may involve planning jobs for electricians, plumbers, or joiners, responding to an emergency repair, rearranging appointments because of access issues, and following up on jobs that require additional work.
Key Responsibilities
- Plan daily and weekly repair schedules for maintenance teams and contractors.
- Allocate jobs according to trade, location, priority, and available resources.
- Review incoming repair requests and identify appropriate response times.
- Coordinate emergency, urgent, and routine maintenance appointments.
- Monitor outstanding repairs and follow up on jobs that have exceeded expected completion dates.
- Reorganise schedules when emergencies, staff absences, or operational issues occur.
- Communicate appointment information clearly to residents, customers, and property users.
- Coordinate access arrangements for occupied properties.
- Maintain accurate repair and appointment information within maintenance systems.
- Update job statuses following completion, cancellation, or additional work requirements.
- Liaise with tradespeople regarding job details and scheduling changes.
- Identify repairs requiring additional specialist trades or contractor involvement.
- Coordinate follow-on work when repairs cannot be completed during the first visit.
- Monitor workload levels across different trades and highlight capacity issues.
- Support supervisors with information regarding incomplete or recurring repairs.
- Maintain accurate records of customer contact and appointment changes.
- Assist with contractor scheduling where external maintenance support is required.
- Prepare routine reports covering outstanding jobs, completed repairs, and appointment performance.
- Help identify recurring scheduling issues and recommend practical improvements.
- Support efficient use of maintenance teams by reducing unnecessary travel and repeat visits.
What We Are Looking For
- Previous experience in repairs planning, maintenance scheduling, housing services, facilities, construction administration, or a similar operational environment.
- Strong organisational skills and confidence managing frequently changing schedules.
- Good communication skills when dealing with customers and tradespeople.
- Ability to prioritise urgent work while maintaining planned appointments.
- Experience using repairs, scheduling, housing, or workforce-management software would be advantageous.
- Good working knowledge of Microsoft Outlook, Word, and Excel.
- Ability to maintain accurate job and appointment records.
- Basic understanding of building maintenance and common trade activities is beneficial.
- Experience working with plumbers, electricians, joiners, decorators, or other maintenance trades would be advantageous.
- Strong problem-solving skills when appointments or resources change unexpectedly.
- Ability to manage customer expectations professionally.
- Good attention to detail when coordinating dates, addresses, job requirements, and resources.

Working Approach
You are comfortable when the schedule changes halfway through the day. You can quickly distinguish between a repair that needs immediate attention and one that can be rearranged without creating unnecessary disruption. You keep customers informed, give tradespeople clear information, and follow outstanding jobs through until the repair is genuinely completed.
Pay: £2,500.00-£2,600.00 per month
