Job Title: Finance Assistant - Accounts Payable
Accountable to: Financial Controller, Burnley
Base Location: Site based
Hours - 15 -20 hours per week flexible
Main Responsibilities
Responsible for the management of the supplier ledger and ensuring accuracy, through data input and review, of the supplier accounts, including allocation of payments to invoices, allocating credit notes or supplier refunds correctly.
Maintenance of strong working relationships with representatives of supplier organisations and the payroll provider.
Accountable for accurate data input into the stock management database and ensuring it reconciles with the accounts system.
Support the Finance Team in month end financial data preparation and analysis.
Key Tasks
Ø Manage the end to end supplier ledger system including matching invoices, delivery notes and supplier payments on the company accounting system and reconciliation of supplier statements.
Ø Ensure stock prices are regularly updated on the stock management system.
Ø Develop and maintain professional and close working relationships with all suppliers to the business, dealing with any day to day queries in a timely manner.
Ø Maintain key relations with Quality and Operations to ensure all key supplier and product information is shared.
Ø Produce departmental metrics for inclusion in management meetings and board papers.
Ø Administer the employee expenses system collating payment claims with receipts and preparing documentation for payment.
Ø Manage the site petty cash system reconciling cash and receipts on the company accounting system on a weekly and monthly basis.
Ø Provide cover for finance team colleague holiday and other absence as required.
Key Skills and Requirements
1. Proven experience of working in a busy and fast moving office operation.
2. Previous purchase ledger experience is desirable but not essential.
3. Good team worker with strong communication, interpersonal and numerical skills.
4. A keen eye for detail and a quality focussed approach to producing numerically accurate work are essential.
5. Proven organisational skills and a systematic approach to query resolution.
6. Confident and competent user of MS Office with particular emphasis on spreadsheet proficiency.
