We’re looking for a Field Survey & Documentation Coordinator to manage several site-based asset identifications and surveying workstreams (e.g., cable labelling, emergency lighting surveys, electrical metering) delivered by multiple teams in parallel. You’ll plan and direct daily work areas, maintain accurate master records in Excel, manage and validate incoming work returns, resolve discrepancies and queries, and compile tidy, client-ready submission packs on a rolling basis. This role suits someone highly organised and detail-focused, comfortable coordinating field teams and applying consistent QA and document control across repeatable processes.
Management responsibilities
- Coordinate multiple small field teams across several parallel surveying workstreams; allocate areas, priorities, and sequencing.
- Maintain the master Excel trackers and ensure consistent, accurate data entry across all teams/projects.
- Control PDF mark-ups and revisions; keep records aligned and traceable.
- Validate returns on a regular cycle; reconcile discrepancies between trackers and mark-ups and drive queries to closure.
- Consolidate and tidy deliverables into client-ready submission folders with clear versioning and filing standards.
- Provide simple progress reporting across workstreams (status, issues, upcoming work areas) and support continuous improvement of templates/checklists.
Key skills
- Excel competence for updating records, finding and highlighting discrepancies.
- Confident handling and revising PDF mark-ups.
- Excellent organisation and attention to detail; methodical approach to quality assurance.
- Comfortable directing and supporting field teams remotely with clear instructions and follow-up.
- Strong written communication for issue logs, queries, and client-ready packs.
- Adaptable: able to apply the same process across different asset/survey types.
Experience
- Project coordination / supervision on site-based or field-work programmes.
- Managing deliverables and QA across multiple contributors.
- Experience producing client-facing documentation packs.
