Property Management Team
Salary: £32,000 - £36,000
Hours: Monday – Friday, 40 hours per week
Location: Chestertons, Tower Bridge
The Role:
The Senior Tenancy Progression Coordinator is responsible for overseeing the preparation, coordination, and administration of all tenancy documentation, ensuring compliance with current lettings legislation, company policies, and service standards. The role manages complex tenancy matters, supports operational excellence, and acts as a senior point of contact for tenancy progression queries.
Working closely with Front Office, Lettings Operations, and management, the Senior Tenancy Progression Coordinator ensures the smooth progression of all new tenancies, renewals, tenancy variations, and short-let agreements while helping to drive continuous improvement, quality, and compliance across the department.
Key Responsabilities Tenancy Documentation & Compliance
- Prepare, review, and coordinate all tenancy documentation for new tenancies, renewals, tenancy variations, and short-let agreements.
- Ensure documentation complies with all current lettings legislation, including Right to Rent requirements, prescribed information, deposit legislation, safety certification, and company compliance procedures.
- Manage complex and non-standard tenancy agreements, working with managers or legal advisers where required.
- Monitor legislative changes and assist in implementing updates to internal processes and documentation.
Tenancy Progression
- Oversee the tenancy progression process from offer acceptance through to move-in, ensuring all milestones are achieved within agreed service levels.
- Coordinate special conditions, amendments, and bespoke clauses while ensuring clear communication across departments.
- Maintain accurate records and ensure all files are audit-ready.
Leadership & Team Support
- Act as a senior escalation point for tenancy progression queries and complex cases.
- Support the manager in training, coaching, and developing new and existing team members.
- Share knowledge of legislation, best practice, and internal procedures to maintain consistency across the team.
- Assist in monitoring workloads and supporting team performance during busy periods.
Stakeholder Management
- Build strong relationships with Branch Managers, Lettings Negotiators, Front Office teams, and Operations.
- Provide proactive updates on tenancy progression and resolve issues quickly to minimise delays.
- Deliver exceptional internal customer service while maintaining professional communication.
Service & Performance
- Consistently exceed departmental KPIs relating to turnaround times, compliance accuracy, and customer service.
- Support internal audits and quality assurance processes.
- Identify opportunities to improve workflows, reduce risk, and increase operational efficiency.
Systems & Administration
- Maintain accurate records across CRM and tenancy management systems.
- Ensure data integrity and complete audit trails.
- Assist with reporting, KPI monitoring, and operational analysis.
Business Development
- Identify opportunities to refer clients to Property Management, Sales, Financial Services, and other company departments.
- Promote additional services such as Rent Protection where appropriate.
Team Contribution
- Foster a collaborative and positive team culture.
- Support departmental initiatives and contribute to continuous improvement projects.
- Lead by example through professionalism, accountability, and customer-focused service.
Skills & Experience
- Minimum 2/3 years' experience within tenancy progression, lettings administration, or property compliance.
- Strong knowledge of UK residential lettings legislation.
- Experience handling complex tenancy agreements and compliance matters.
- Excellent organisational and prioritisation skills.
- High attention to detail with strong written communication.
- Confident using Microsoft Office and tenancy management software.
- Experience coaching or supporting colleagues is desirable.
- Ability to work effectively under pressure while maintaining exceptional accuracy.
