Job Overview
This is a dedicated role that will be main support for consultants based at our City location.
This will require an exceptional level of customer service and multi-tasking. The successful candidate will show initiative, enthusiasm and will have a unique opportunity to build the role adapting to the business needs.
Responsibilities and Duties
· To prepare reports and documents needed for consultant lists and chase any reports to ensure clinic runs smoothly
· Assist consultants with any IT/Systems related queries on daily basis to be the main contact onsite
- Supports the clinic in compliance related tasks i.e., audits, collecting customer feedback, preparation for regulatory inspections etc.
- Ensures clinician productivity by assisting and highlighting capacity needs
· To cover reception lunch breaks, planned and unplanned absences and due to business demands.
· Maintains office supplies inventory by checking stock; anticipating needs; placing and expediting orders; verifying receipt
· Liaise with finance to assist with any billing queries using multiple systems including but not exhaustive to Semble, Meddbase.
· Liaise with and maintain good relations with all OHC staff
· Have the ability to assist with the booking of triage calls and transference of data from Meddbase system if the need arises
- Ensures all patient record keeping is clear and up to date.
- Maintains the highest level of confidentiality for all One Heart Clinic Patients.
- Ensures that all personal tasks and group tasks are kept up to date with clear notes about communications to patients and all other record keeping.
- When requested and on occasion generates revenues by completing direct patient and third-party billing; monitoring accounts receivables; initiating collection calls and reminders.
- Secures information by completing database back-ups.
- Keeps office equipment in working order by following operating instructions; troubleshooting breakdowns; maintaining supplies; performing preventive maintenance; calling for repairs.
- Maintains quality results by following and enforcing all company standards.
- Serves and supports the health care community by adhering to professional standards, Clinic policies and procedures
- Updates job knowledge by participating in educational opportunities; reading professional publications.
- Enhances clinician office reputation by accepting ownership for accomplishing new and different requests, exploring opportunities to add value to job accomplishments.
- Ensures a full written handover is done prior to annual leave and days off if applicable.
- Monitoring personal emails, group emails and Live Chat efficiently and with the ability to prioritise
· Working on Saturdays on a rotation basis
· Answer mainlines and direct dial calls using the 8x8 system, always ensuring a professional phone manner To be logged in and readily available to take calls during the working day apart from during scheduled lunch.

Pay: Up to £35,000.00 per year
