Summary of Role
The Dalkia Office Coordinator will establish and maintain the effective operation of the project office. The role will involve the provision of comprehensive administrative and coordination support to site teams and SLT/SMT functions.
You will be supporting the business through an exciting period of growth from project inception to completion, requiring the ability to establish your professional credibility and build strong working relationships across the business. This is a full-time position.
Accountabilities:
Support the management of the Dalkia holiday schedule, ensuring accurate tracking and visibility across teams.
Establish, manage, and control a structured business communications process, including the preparation and distribution of Dalkia and site-wide newsletters.
Coordinate office and/or site administrative activities, including the issue of visitor passes and the arrangement of any required PPE in line with site and safety requirements.
Support business and or site onboarding processes, assisting Dalkia HR teams with vetting, PPE requests, and onboarding activities in liaison with the HR & Onboarding Team.
Provide administrative support to Dalkia Site and office teams, and SLT/SMT functions, ensuring efficient day-to-day operations.
Manage and maintain office supplies and consumables to support the smooth operation of the workplace, including stationery and other essential items, monitoring stock levels regularly, anticipating requirements, and ensuring ensure timely reordering to avoid shortages.
Manage SLT/SMT travel arrangements, utilising Dalkia systems and processes to book and arrange travel and accommodation in accordance with using the company expenses policy and booking procedures.
Essential Qualifications
Good general level of education i.e. GCSE x 5 particularly English and Math's at C/5 and above.
Minimum 2+ years of office or site administration experience within a fast-paced environment
Competence in Microsoft Office applications
Competent in using PDF creation, editing and management such as Bluebeam and/or Adobe Acrobat Professional.
HSE Operative Test or CCNSG safety passport
Previous experience within a construction site environment
Experience should include efficient administration, document organisation and general office administration
Working Pattern of Attendance and Location(s):
9-day fortnight or traditional 5-day working week
Hinkley Point C, Construction site/Aztec West Office
