About the Role
This is not a general administration role. We are looking for an experienced Project Coordinator or Project Administrator who is confident managing multiple live projects within a busy office environment.
You will support our Project Managers by coordinating engineers, subcontractors, suppliers and customers, ensuring projects are delivered on time and all documentation is accurate and up to date.
The successful candidate will be highly organised, able to prioritise a varied workload and remain calm under pressure. Previous experience in construction, engineering, building services or a similar project-based environment would be a significant advantage.
You’ll be responsible for everything from raising purchase orders to liaising with suppliers and handling invoice queries—a crucial role in ensuring our projects run efficiently.

Key Responsibilities
Project Administration & Coordination
- Managing data entry related to labour, purchase orders, and delivery notes
- Processing project applications and claims
- Handling invoice queries and ensuring smooth financial processing
- Compiling weekly work schedules and reviewing job cards
- Creating and maintaining O&M Manuals
- Chasing, recording, and updating subcontractor documentation
- Arranging the on-hire and off-hire of equipment for Project Managers
- Acting as a key liaison between engineers, suppliers, and contractors
- Onboarding new contractors and managing documentation
- Supporting the management of company vehicles and company livery
- Answering telephone queries professionally and efficiently
- Ordering stationery and office supplies, accepting deliveries
- Preparing monthly wage reports for engineers
- General administrative support to Project Managers and the wider business
What We’re Looking For
Essential Requirements
- Minimum of 2 years' experience in a project coordination, contracts administration or project administration role.
- Excellent Microsoft Excel, Word and Outlook skills.
- Experience managing purchase orders, invoices and project documentation.
- Strong organisational skills with the ability to manage multiple priorities simultaneously.
- Excellent written and verbal communication skills.
- GCSE Maths and English Grade 4/C or above (or equivalent).
- Able to work from our LE4 office 3–4 days per week.
Desirable
- Experience within the electrical, construction or building services sector.
- Experience coordinating engineers, subcontractors or site-based teams.
- Knowledge of purchase orders, applications, valuations or O&M manuals.
- Experience using job management software such as Simpro

Job Type
Part-time 3-4 days per week, 0830-1700 weekdays
Salary
£25,000- £28,000 per year pro-rata (dependent on experience)
Location
Office-based in LE4 1ET - applicants must be able to commute daily
