Estate Secretary – Maternity cover (November 2026 – mid-September 2027)
Summary of Post
This is a key role in a small office located on the Spetchley Park Estate, Worcestershire, and would appeal to someone who thrives on working in an evolving, friendly atmosphere. The successful candidate needs to be methodical and well-organised, adaptable, out-going, discreet, reliable and able to deal in a friendly, efficient manner with the Family, Trustees, Spetchley staff, professional advisers, Estate tenants, contractors, events organisers and the general public. In view of the varied content of much of the work involved, a background of having worked, for example, in a Land/Estate Agent’s office would be helpful but is not essential. The ability to work both as part of a team and on your own initiative at times are essential.
General Secretarial/Office Duties and IT packages involved:
The Estate Secretary will report directly to the Estate Manager and liaises with all members of staff. Regular duties include emailing, dealing with telephone enquiries, organising of servicing and maintaining properties, helping to maintain diaries, setting up appointments and bookings, filing and dealing with enquiries from tenants and the general public. Much of the work is confidential, therefore, discretion will be an important attribute of the successful candidate.
IT packages used include Microsoft Outlook, Excel, Word and the Estate’s property and accounts software package, Landmark.
Specific/Additional Duties attached to post include:
- liaising with the Berkeley Family, Estate and Garden staff over various matters
- assisting with the letting of residential and commercial properties on the Estate and all procedures associated with this including conducting viewings.
- maintaining excellent relationships with existing and prospective tenants – logging any maintenance requests and liaising with relevant contractors to ensure repairs etc. are carried out in a timely manner.
- maintaining filing system list and contact details of tenants/external contacts
- preparing relevant documentation for Estate/Trustees meetings and visits
- organising annual compliance certification of electric/gas/oil boilers in Estate properties, and other inspections
- ensuring health and safety procedures are adhered to, organising training courses where applicable.
- typing of specifications for repair, refurbs and maintenance work
- maintaining insurance records for claims and vehicles
- liaising with the Estate Manager and Accounts Department over debtors/invoicing.
- maintaining a long-term diary for periodic actions (e.g. rent reviews, lease renewals etc.)
- maintain a record of annual leave/lieu/sickness records.
- hosting and delivering hospitality when required for dinners and meetings.
- fielding innumerable enquiries of a general nature!
Conditions of Work:
Hours: Full time - 40 hours per week – 9-5:30pm Monday - Friday
Salary: £28,500 per annum (Pro Rata)
Annual Leave: 25 days per annum plus bank holidays (Pro Rata)
