Job Summary:
We are seeking a reliable and organised Administrator / Receptionist to join our team. As the first point of contact for our company, you will play a crucial role in creating a positive and welcoming atmosphere for our clients and visitors. The ideal candidate will have excellent communication skills, be proficient in administrative tasks, and have a strong attention to detail.
Duties:
· Ensure all voicemail messages to main office number are taken and directed to staff members
· Report telephone equipment and line faults to the IT Manager
· Keep a record of staff and visitors signing in and out of the building; maintain security awareness
· Tidy, organise and maintain the reception area
· Schedule appointments and meeting times for clients
· Log in and out of deeds, wills and security and transcribe dictation
· Arrange archiving of all closed files; access case management system and prepare files for external archive storage
· Set up meeting facilities for the boardroom and interview room
· Sort and distribute post to other offices; maintain franking machine and arrange couriers
· Undertake photocopying and scanning of documents
· Maintain basic office supplies including paper and photocopier materials
· Order refreshments, office display flowers and newspapers
· Maintain client confidentiality
· Manage own work allocation, productivity and quality of work with minimum supervision
· Adhere to all internal methods, systems, policies and procedures
· Take responsibility for own training on software or systems used at Chubb Bulleid if not already familiar with them
Support other members of the administrative team when necessary

Pay: £24,877.00 per year
