Job Summary:
Schwank Ltd is looking for an organised, reliable and customer focused Service & Business Administrator to join our team.
This is a varied role providing day to day administrative support to the service department and wider business. You will help coordinate our field based engineers, respond to customers, maintain accurate records and ensure service work is planned and completed efficiently.
Experience in a service, engineering, facilities management or heating related business would be beneficial, although full training will be provided.
Salary: £26,500 to £32,000 per year, depending on experience.
Key responsibilities
- Receive and process customer service requests.
- Plan and coordinate engineers workloads and appointments.
- Communicate with customers, engineers, suppliers and other departments.
- Provide customers with job updates and respond to general enquiries.
- Prepare quotations and supporting service documentation.
- Monitor job progress, timescales and completion status.
- Check engineers job sheets, timesheets and expenses, reporting any discrepancies.
- Maintain engineer training, certification and vehicle records.
- Update customer systems and portals with accurate job information.
- Record information required for service reports and performance measures.
- Prepare standard risk assessments and method statements.
- Support general office administration, including data entry, filing and document management.
- Assist with the development and implementation of company procedures.
- Provide general administrative support across the business when required.
Skills and experience
The successful candidate will:
- Be highly organised and able to prioritise a varied workload.
- Have strong attention to detail and accurate data entry skills.
- Be confident communicating with customers and engineers by telephone and email.
- Have a professional and helpful approach to customer service.
- Be comfortable working independently and as part of a team.
- Be able to remain calm and productive in a busy working environment.
- Have good Microsoft Office skills, particularly Outlook, Word and Excel.
- Ideally have previous experience coordinating engineers, field-based staff or service appointments.
