We have an exciting opportunity for a New Business Unit Administrator to join our Risk Management Team in Northampton.
Job Purpose
The New Business Unit (NBU) Administrator is responsible for supporting the firm's client and matter onboarding processes, ensuring that file opening, AML, CDD, sanctions and conflict checking requirements are completed accurately and in line with firm procedures. The role provides a centralised onboarding service to fee earners and support teams, helping to maintain regulatory compliance, data accuracy and service delivery standards.
Duties and Responsibilities
Client and Matter Onboarding:
- Process new client and new matter opening requests in accordance with NBU procedures.
- Review File Opening Forms (FOFs), MARAs and supporting documentation for completeness and accuracy.Open new clients and matters within the firm's systems and update client records as required.
AML, CDD and Compliance:
- Complete AML, CDD, sanctions and conflict searches in accordance with firm policies and procedures.
- Identify and escalate potential AML, sanctions or conflict issues to the Team Leader or Risk Manager.
- Maintain accurate compliance records and documentation.
Document and Data Management:
- Save onboarding, compliance and verification documents using agreed naming conventions and filing procedures.
- Ensure client and matter information is recorded accurately across all systems.
- Complete and maintain Compliance Notes and associated records.
Stakeholder Support:
- Act as a point of contact for fee earners, secretaries and other internal stakeholders regarding onboarding and AML enquiries.
- Provide clear updates on onboarding progress and outstanding requirements.
- Deliver a professional and consistent service to internal clients.
Team and Process Support:
- Follow NBU inbox management procedures and service standards.
- Assist with monitoring outstanding AML requirements and completing follow-up actions.
Contribute to process improvements and support continuous development of the NBU function.

Technical Competencies
- Previous experience in an administration role
- Awareness of AML, CDD, sanctions and conflict search requirements.
- Knowledge of client and matter onboarding processes.
- Proficient in Microsoft Office applications and onboarding systems.
- Strong attention to detail and data accuracy.
- Ability to identify and escalate compliance issues appropriately.
- Effective problem-solving and organisational skills.
