As Executive Assistant, you will provide high-level, trusted support to our Executive Directors, giving them the space to focus on strategic priorities across our government, defence and critical infrastructure work. You will take ownership of complex diaries, sensitive communications and cross-functional coordination, acting as a central point of control for their time, information flow and priorities.
This is a role of real discretion and judgement, operating close to leadership decisions in a security-conscious environment. You will work at the heart of the business, building trusted relationships across the leadership team and with external stakeholders including government and defence partners.
Own and control the Executive Directors' diaries end-to-end, prioritising engagements and resolving scheduling conflicts with judgement
Manage inboxes and correspondence, drafting and triaging communications on their behalf
Coordinate complex UK and international travel itineraries, including logistics for secure or restricted-access sites
Prepare and quality-check briefing packs, board papers and presentations ahead of key meetings
Act as the primary point of contact between the Executive Directors and internal leadership, external partners, clients and government stakeholders
Lead on planning and coordination of leadership meetings, board sessions and offsites, including agendas and minute-taking
Manage confidential and sensitive information with absolute discretion
Track and follow up on actions arising from executive meetings, ensuring accountability across the leadership team
Support budget and expense management for the executive office
Experience as an Executive Assistant or Senior PA supporting C-suite or board-level executives
Experience operating in defence, government, critical infrastructure or another security-conscious sector is strongly preferred
Track record of managing complex, high-volume diaries and competing priorities under pressure
Experience coordinating board or leadership meetings, including papers, minutes and action tracking
Demonstrated ability to handle confidential and sensitive information with consistent discretion
Eligibility to obtain UK security clearance (SC level or above)
Exceptional organisational skills with meticulous attention to detail
Advanced proficiency in Microsoft Office (Outlook, Word, PowerPoint, Excel)
Strong written and verbal communication, able to represent senior leadership credibly with stakeholders
Sound judgement and discretion when handling sensitive or classified information
Ability to work independently, anticipate needs and act decisively under time pressure
Calm, professional manner in fast-moving, high-stakes situations
Educated to degree level, or equivalent experience supporting senior leadership
Relevant professional certification in administration or business support is desirable but not essential
