The Purchasing and Sales Administrator plays a key role in supporting the commercial operations of the organisation by coordinating the purchasing and sales processes whilst ensuring efficiency and accuracy. The purpose of the role is to manage the flow of goods and information between suppliers and customers, including processing purchase orders, maintaining inventory records, tracking deliveries, and handling sales documentation. This position acts as a central point of communication between internal stakeholders, manufacturers, and customers. By maintaining accurate records and supporting the sales department, the administrator helps optimise performance and contributes to overall satisfaction of our customers.

Key Responsibilities:
- Coordinate and process purchase orders in line with company policies and budgets.
- Maintain strong supplier relationships while demonstrating commercial awareness.
- Monitor stock levels and coordinate with internal stakeholders to forecast purchasing needs.
- Ensure timely delivery of goods and services, resolving any delivery or quality issues with suppliers.
- Maintain a database of approved suppliers and contractors.
- Support cost-saving initiatives through supplier consolidation and improving terms.
- Maintain accurate and up-to-date purchase ledger records.
- Respond to internal and external queries related to purchases.
- Support internal sales team with administration tasks.
- Assist with delivery administration such as booking external shipments and proof of delivery requests.
- Reporting on supplier performance, weekly order books and supplier spend.
Essential Skills:
- Proven experience in a similar role within administration or purchasing.
- Experience working with an ERP system from a purchasing perspective.
- Good understanding of procurement principles and business flows.
- Strong Excel and MS Office skills.
- Excellent communication skills and can confidently manage the varying needs of both internal and external stakeholders.
- Accuracy and attention to detail when working with high volumes of data.
- Can work autonomously and demonstrate excellent time management.
Desirable Skills:
- CIPS or equivalent qualification in administration.
- Previous experience working with couriers.
- Experience managing purchasing processes within distribution.
