Overview
We are seeking a highly organised, proactive, and motivated individual to develop within our team as a Maintenance / Operations Coordinator with the opportunity to further develop into a leadership role within our reactive maintenance division.
Operating within the shopfitting, fit-out, and facilities maintenance sector, you will be responsible for managing a wide range of reactive and planned maintenance works for retail, hospitality, commercial, and leisure clients across the UK.
The role involves coordinating maintenance requests from initial client contact through to completion and invoicing, ensuring all works are delivered efficiently, safely, and in line with client service level agreements (SLAs). You will liaise daily with clients, site operatives, subcontractors, suppliers, and facilities management teams to ensure maintenance tasks are completed to a high standard and within agreed timescales.
The position also includes coordinating Planned Preventative Maintenance (PPM) schedules, Fire Risk Assessment (FRA) remedial works, compliance-related maintenance activities, and supporting the wider operational and administrative functions of the business.
This is an office-based role, working closely with colleagues while maintaining regular communication with those delivering works on site throughout the UK.
Key Attributes
- Any knowledge of construction, shopfitting, facilities management, property maintenance, or a similar industry would be advantageous
- Exceptional organisational skills with the ability to manage multiple maintenance tasks simultaneously
- Ability to work effectively under pressure and adapt to changing priorities and client requirements
- Strong problem-solving skills and confidence to make decisions using your own initiative
- Excellent communication skills, both written and verbal enabling the ability to build positive relationships with clients, suppliers, subcontractors, and site teams
- Strong attention to detail and commitment to maintaining accurate records and trackers
Role Responsibilities
- Coordinating reactive maintenance works from receipt through to completion and invoicing
- Managing maintenance requests for retail, hospitality, commercial, and leisure environments
- Monitoring client portals, helpdesks, and shared inboxes to ensure all requests are actioned promptly
- Allocating works to internal operatives and approved subcontractors
- Obtaining quotations, scheduling works, and ensuring attendance within agreed response times
- Tracking the progress of maintenance jobs and providing regular updates to clients and facilities management teams
- Coordinating Planned Preventative Maintenance (PPM) programmes and compliance-related remedial works
- Managing Fire Risk Assessment (FRA) actions and other statutory maintenance requirements
- Producing and issuing Risk Assessments, Method Statements (RAMS), permits, and other site-specific documentation where required
- Ordering materials, coordinating deliveries, and liaising with suppliers and merchants
- Creating and processing Sales Orders, Purchase Orders, Delivery Notes, and Invoices using SAP
- Maintaining internal maintenance trackers, client reports, and operational records
- Responding professionally to client enquiries and resolving issues efficiently
- Ensuring all completed works are correctly documented and invoiced in a timely manner
- Supporting general office administration and assisting with wider operational activities as required
Pay: £26,000.00-£27,000.00 per year
