Role Summary
We are looking for a proactive and highly organised Office & Administrative Assistant to support the smooth day-to-day running of our Head Office. This is a varied and hands-on role suited to someone who enjoys keeping things organised, supporting colleagues, and ensuring key administrative tasks are completed accurately and on time. From coordinating suppliers and contractors to preparing meeting rooms and data entry, you will play an important part in ensuring the office runs efficiently.
Key Accountabilities of the role:
The main duties of this role include, but are not limited to:
· Processing and recording purchase invoices.
· Ordering office supplies and maintaining stock levels.
· Booking hotels and travel arrangements as required.
· Opening, sorting, and distributing incoming post.
· Printing, scanning, filing, and shredding documents.
· Answering and directing incoming telephone calls.
· Setting up meeting rooms for internal and external meetings.
· Ensuring meeting rooms are tidy, well-prepared, and appropriately equipped.
· Recording, and maintaining sub-contractor orders & insurance documentation.
· Supporting the set-up of new suppliers and sub-contractors on internal systems.
· Maintaining accurate records and supporting compliance requirements.
· Providing general administrative support to the wider team as required.
What you will need:
Skills & Experience
· Strong organisational skills with excellent attention to detail.
· Confident communication skills, both written and verbal.
· Ability to manage a varied workload, prioritise tasks, and meet deadlines.
· Good working knowledge of Microsoft Office (Word, Excel, Outlook).
· Accurate data entry skills and confidence using internal systems.
· Professional and friendly telephone manner.
· Ability to handle confidential and sensitive information appropriately.
