POSITION: Administrator (Recruitment, People & Resources)
DURATION OF POST: 12 months fixed contract (subject to funding)
HOURS: 37.5 Hours per week
YG’s core business hours are Monday-Friday 9-5.30pm however due to the nature and pressing need of our work all YG staff may be required to complete work outside of these hours.
SALARY: £26,330.00 - £28,430.00 per annum
HOLIDAY: 25 days per annum plus bank holidays
RESPONSIBLE TO: People & Business Manager
LOCATION: Your normal place of work will be one of the following offices.
- The Old Dock Office, Commercial Road, Glos, GL1 2EB,
- Graphic House, Greyfriars, Glos, GL1 1TS
but you agree to perform your duties in such other place or places as we may reasonably require from time to time.

JOB SUMMARY
This role is responsible for supporting the full employee lifecycle, from recruitment, interview administration, onboarding and induction through to offboarding, while providing reception cover and wider administrative support. They will lead the induction process for new starters, acting as the key point of contact and ensuring all relevant documentation, starter packs and resources are prepared. The role also involves maintaining accurate employee records, managing calendar slots, requesting updated information from employees, and escalating accordingly. In addition, the role will maintain key employee dates, including start dates, probation dates and end dates, and provide support for company events and other people-related activities as required.
SPECIFIC DUTIES
- Support the Business Manager with recruitment of workforce for YG
- Book telephone and physical interviews for prospective new staff
- Undertake of full lifecycle of employment paperwork
- To ensure a high-quality service is always delivered for young people by your team and wider staff
- Cover reception for Old Dock Office covering holidays and sick
- Support the day-to-day management of buildings across YG portfolio
- Work in partnership with the other administrators from YG
- To deliver training on admin processes as required
- Maintain excellent records and ensure accurate input of all data to YG’s database is completed on time
- Support the wider activities and administration of the charity
- Work with communications team to increase awareness of opportunities
- Maintain a teamwork approach to all aspects of work
- Complete essential training

PERSON SPECIFICATION
- Able to communicate effectively via the phone with young people, parent/ guardians, organisations and funders
- Experience working in a fast-paced and demanding environment
- Experienced in administration and recruitment
- Good written and verbal communication skills and the proven ability to write reports and deliver presentations to a variety of audiences
- Excellent communication skills and the ability to engage with people across multiple departments
- Maintains a professional outlook, the ability to maintain confidentiality and act as an ambassador
- Intermediate knowledge of Excel
- Commitment to Equal Opportunities Legislation and an understanding of, and commitment to work within the principles of diversity
- Effective time management, including the ability to prioritise and manage a varied workload
- The ability to work on own initiative to an agreed action plan
- IT skills including experience of Microsoft Office programmes
EDUCATION & EXPERIENCE
Essential:
- Experience in Recruitment & Administration
- Experience, working with and processing confidential information
- Knowledge of the employee life cycle
Desirable:
- Experience in the charitable sector
- First Aid Qualification

Due to the requirements of this role, the post holder will require a full driving license, and right to work in the UK.
