Job Description
We are seeking an experienced, highly organised and technically confident Senior Financial Services Administrator to join our West Midlands Hub. Reporting to the Head of Client Management, the role will provide high-quality administrative, technical and report-writing support to Financial Advisers, helping to ensure clients receive a professional, compliant and efficient service. The successful candidate will have strong financial services experience, hold or be working towards relevant CII qualifications, and be confident producing client-facing reports and correspondence to a high standard.
Key Responsibilities
- Prepare accurate, compliant and client-focused reports and correspondence, including pension switches, drawdown and new investments.
- Provide senior-level administrative and technical support to Financial Advisers, ensuring work is completed accurately, efficiently and within agreed service standards.
- Use research and planning tools such as FE Analytics and CashCalc, alongside the Gateway back-office system, to support adviser recommendations and client servicing activity.
- Maintain accurate client records, diary management and reporting processes to ensure clear audit trails in line with company and compliance standards.
- Liaise directly with providers by telephone and email to obtain information, resolve queries and progress client cases.
- Review administrative work for accuracy and quality where required, supporting continuous improvement across the team.
- Collaborate with colleagues, advisers and other internal teams to improve efficiency, client service and operational consistency.
- Support, coach and share knowledge with other administrators where appropriate.
- Strictly adhere to GDPR regulations, internal policies and FCA requirements, including the principles of fair client outcomes and compliant record keeping
Experience, Knowledge and Qualifications
- Previous experience in a financial planning, wealth management or financial services administration role is essential, ideally at senior administrator level.
- Strong knowledge of financial services products, including pensions, investments, protection and platforms.
- Proven experience preparing client-facing reports, annual review documentation, valuation summaries and technical correspondence.
- Good understanding of FCA regulatory requirements, GDPR, compliance processes and the importance of maintaining accurate audit trails.
- Confident user of Office 365 applications, with experience of back-office systems and research tools desirable.

Pay: £30,000.00-£38,000.00 per year
