Resourcing & Office Administrator
Location: Office based at our Head Office in Telford
Salary: £27,956 per annum
Hours: Monday to Friday, 37.5 hours per week

We’re looking for a Resourcing & Office Administrator to join our Quality and Operational Support team.
This is a varied role combining full ownership of RTITB’s bespoke Resource Management System (RMS) with wider office and administrative support. You’ll coordinate bookings and resources, maintain accurate schedules, identify clashes and inefficiencies, and make sure courses, people, rooms and vehicles are planned effectively.
Alongside RMS, you’ll help keep our workplace running smoothly by supporting reception, fulfilling customer shop orders, managing stock, preparing meeting rooms and completing other office-based adminstrative activities.
This role suits someone who thinks quickly, enjoys creating order, takes ownership and is comfortable balancing detailed systems work with a varied range of office-based administrative responsibilities.
The role is fully office-based in Telford, working 37.5 hours per week, Monday to Friday. We can offer flexibility around the working pattern and agreed start and finish times, including an earlier finish on Friday. An 8am start will be required on Mondays and may occasionally be needed on other days to support operational and reception cover.

What You’ll Be Doing
- Take ownership of the RMS and become the central point for scheduling and resourcing, ensuring courses, audits, examinations, people, rooms and vehicles are planned accurately and well in advance.
- Keep operations moving by reviewing upcoming activity, identifying gaps, clashes, provisional bookings or inefficient arrangements, and taking action before they become problems.
- Coordinate with colleagues and managers across the business to resolve scheduling challenges, balance priorities and make the best use of available people and resources.
- Maintain clear, reliable RMS information—including bookings, changes, absences, availability and system records—so colleagues can trust the information they use to make decisions.
- Provide useful scheduling and resource information to managers, highlighting risks, capacity and opportunities to improve efficiency.
- Create a professional and welcoming front-of-house experience by supporting reception, greeting visitors and preparing meeting and training rooms.
- Support our customers by accurately picking, packing and dispatching orders placed through our online shop, ensuring they are completed correctly and within the required timescales.
- Keep day-to-day office operations running smoothly by managing office and candidate-area stock, keeping shared areas ready for use, and assisting with post, archiving, facilities and fleet administration.
- Look for better ways of working, suggesting improvements, automation or appropriate uses of AI that could make our systems and processes more efficient, accurate and reliable.

Essential Skills and Experience
- At least two years’ experience in a busy administrative or operational coordination role, including responsibility for coordinating bookings, schedules or shared resources.
- The ability to think logically, identify problems or inefficiencies and take practical action to resolve them.
- A proactive approach to forward planning and managing competing priorities.
- Strong problem-solving skills and excellent attention to detail.
- Confidence communicating with colleagues, customers, visitors and suppliers.
- A consistently high standard of internal and external customer service.
- Competence using Microsoft Outlook, PowerPoint, Word and Excel, with the ability to learn new systems quickly.
Desirable Skills and Experience
- Experience using a resource management, scheduling or booking system.
- Experience working within transport, warehousing, logistics, training or another regulated environment.
- Experience in reception, stock management, order fulfilment or general office support.
