As a member of Northease Manor School staff you are expected to perform any duties as may reasonably be assigned to you by the Operations and Facilities Manager or the Headteacher.
- Line manage the site team, comprising two Caretakers and a Groundskeeper.
- Organise and coordinate the site team’s workload, allocating resources and prioritising planned, reactive and routine tasks appropriately across the site and monitoring progress and standards of completion.
- Delegate tasks appropriately and ensure smooth running of the team.
- Provide practical guidance and training, helping to resolve obstacles and escalating any capacity, performance or resourcing concerns to the Operations and Facilities Manager.
- Monitor the performance and standards of the site team, provide constructive feedback and ensure team members understand and follow relevant procedures, compliance requirements, risk assessments and safe systems of work.
- Complete team member’s appraisals and report these to the Operations and Facilities Manger annually.
- Ensure that the school premises, grounds and facilities are safe, secure, clean, operational and well maintained at all times, identifying defects and prioritising remedial action.
- Coordinate routine maintenance and repairs across buildings and facilities, undertaking practical works where appropriate and arranging specialist contractors where required.
- Carry out appropriate repairs and maintenance works across the school estate, including building fabric, structural elements and mechanical, electrical and plumbing systems.
- When appropriate arrange specialist contractors, escalating significant defects, risks or expenditure to the Operations and Facilities Manager.
- Ensure specialist heritage advice, consent or conservation is obtained when required.
- Manage the maintenance issue logging process - assessing requests, prioritising work and keeping staff informed of progress where appropriate.
- Coordinate contractors carrying out repairs, servicing, inspections and planned preventative maintenance (PPM), including site access, permits, safeguarding arrangements, induction and monitoring of work.
- Undertake and oversee statutory, health and safety and maintenance checks, ensuring required site compliance activities are completed within the appropriate timescales, including areas such as legionella, fire safety, swimming pool, school vehicles, asbestos and other premises compliance requirements.
- Carry out and record the weekly fire alarm test, promptly reporting faults or concerns and following up required remedial action.
- Work as the Fire Coordinator during fire alarm activations and emergency evacuations, supporting the safe management of the site and liaising with relevant staff and emergency services as required.
- Maintain accurate compliance and maintenance records, including compliance logs, scanning and uploading reports, updating PPM schedules and spreadsheets, filing records on SharePoint and updating the school’s online H&S platform.
- Proactively monitor compliance and PPM schedules to ensure statutory checks, servicing, inspections and remedial actions are completed within required timescales, identifying overdue actions, upcoming requirements or gaps and reporting any risk of non-compliance in advance to the Operations and Facilities Manager.
- Regularly inspect and monitor the condition of buildings, plant, fixtures, fittings, furniture, equipment, grounds and other physical assets across the site, identifying deterioration, defects, emerging risks and maintenance priorities before they become significant or urgent, and discussing preventative or remedial action with the Operations and Facilities Manager.
- Manage the day-to-day security of the school site, including locking and unlocking premises, keyholding, access control, gates, alarms, CCTV and other security systems, ensuring faults, risks and required improvements are identified and reported promptly to the Operations and Facilities Manager and Headteacher, and coordinating emergency call-outs as required.
- Manage keys, access fobs and other site access permissions, maintaining accurate key and access records and ensuring issued items are appropriately controlled, including the onboarding and offboarding procedures for staff.
- Coordinate room and site set-ups for school activities, events and changes to normal operations, ensuring resources and furniture are moved safely and areas are returned to an appropriate standard.
- Respond promptly to urgent maintenance issues, incidents and emergencies, taking appropriate immediate action and escalating significant risks or expenditure to the Operations and Facilities Manager. Proactively report emerging maintenance, compliance, safety, security or condition risks before they escalate, with suggested priorities or actions where appropriate.
- Promote safe systems of work across the site team, ensuring appropriate risk assessments, COSHH information, PPE, equipment checks and safe working practices are followed.
- Monitor stocks, tools, equipment and site supplies, arranging replenishment and ensuring equipment is maintained, stored securely and used appropriately.
- Support the Operations and Facilities Manager with organisation of planned maintenance, minor works, refurbishment and improvement projects, including obtaining and collating information or quotations, coordinating access and monitoring works on site.
- Build positive working relationships with staff, students, contractors and the wider school community, providing a helpful and professional site service.

- Be flexible and accommodating to meet the changing operational needs of the school, including occasional out-of-hours work where reasonably required.
