Role Overview
The Solar PV Administrative Assistant plays a key supporting role within the smooth delivery of sales operations and processes. This position ensures that customer communication, documentation, scheduling, and compliance processes run efficiently from initial enquiry through to installation and aftercare. You’ll be central to keeping the team organised, informed, and ready to deliver exceptional renewable energy solutions.
The role requires strong organisational skills, attention to detail, and a proactive approach to managing sales pipelines, tracking opportunities, and maintaining accurate data across systems.
Key Responsibilities
Customer & Project Support
- Act as a friendly, professional first point of contact for customer enquiries.
- Prepare and send quotes, information packs, and follow‑up communication.
- Support the sales and installation teams with administrative tasks throughout the project lifecycle.
- Maintain accurate customer records within CRM and job management systems.
Scheduling & Coordination
- Arrange site surveys, installation dates, and team appointments.
- Coordinate with suppliers, subcontractors, and internal teams to ensure smooth workflow.
- Track project progress and flag any delays or missing information.
Documentation & Compliance
- Provide general administrative support within RENUCO
- Manage internal documentation, filing systems, and record keeping
- Support onboarding of new clients ensuring systems and documentation are completed
- Prepare, update, and format solar PV and battery storage documentation, including handover packs, certificates, and procedural guides.
- Ensure all paperwork meets MCS, DNO, and internal compliance standards.
- Maintain organised digital filing systems with strong version control
Pipeline & Quote Management
- Monitor active quotations and ensure timely follow-up and progression
- Maintain visibility of pipeline stages and highlight priority opportunities
Operational Administration
- Assist with stock tracking, deliveries, and supplier communication.
- Support procurement processes and maintain supplier records.
- Handle general office duties including correspondence, data entry, and record keeping.
Process Improvement
- Identify gaps or inefficiencies in administrative workflows.
- Suggest practical improvements to enhance customer experience and operational efficiency.
