RECEPTIONIST/ADMINISTRATOR

Monday to Friday, 09:00 - 14:30, or as agreed with the Registered Manager to meet the needs of the service
We are looking for a professional, friendly and organised Receptionist to join the team at Oak View Care Home. You will be the first point of contact for residents, relatives, visitors, professionals and members of the public, helping to create a warm and welcoming first impression while providing reliable administrative support to the management team.
About the role
Reporting to the Registered Manager / Deputy Manager, you will manage the reception area, respond to telephone and email enquiries, maintain accurate records and filing systems, and support the smooth day-to-day running of the home.
Key responsibilities
- Welcome residents, relatives, visitors, contractors and professionals courteously and ensure visitors sign in and out.
- Answer and transfer telephone calls, direct enquiries appropriately and take accurate messages.
- Receive, sort and distribute post and deliveries.
- Maintain electronic and paper filing systems, including staff training certificates and qualification records.
- Prepare routine letters and assist with photocopying, scanning and document filing.
- Respond to emails and general correspondence professionally.
- Order stationery and office supplies and keep the reception and waiting areas clean, organised and welcoming.
- Provide administrative support to the Registered Manager and Deputy Manager, including support for meetings, agendas, papers and minutes.
- Maintain confidentiality, comply with GDPR, and follow security and safeguarding procedures.
- Work positively with colleagues, healthcare professionals, commissioners, local authorities, regulatory bodies and external agencies.

- Previous reception or office administration experience.
- A professional approach to confidential and sensitive information.
- A positive, compassionate and respectful approach to residents, families, colleagues and visitors.
Desirable experience
- Experience in a care home or healthcare setting.
- A Business Administration qualification.
- Knowledge of the CQC environment.
- Experience using care management systems.
